Workplace Manager
About the roles and responsibilities
The Workplace Manager is responsible for overseeing the efficient and effective operation of JLL client workplace facilities. This role requires excellent leadership and organizational skills, as well as the ability to maintain strong relationships with clients, vendors, and internal stakeholders. The Workplace Manager is responsible for managing a team of professionals and ensuring that all facility-related operations meet the highest standards of quality and client satisfaction. Additionally, the Workplace Manager will support and collaborate with the Permit Manager in managing end-to-end permitting processes for property management and construction projects.
Responsibilities:
Strategic Planning:
Develop and implement strategic plans for the workplace facilities to align with the client's goals and objectives.
Collaborate with the client and internal stakeholders to understand their needs and provide innovative workplace solutions.
Continuously analyze and identify opportunities for improvement in facility operations and recommend strategic initiatives.
Operations Management:
Oversee the day-to-day operations of the workplace facilities, ensuring efficient and cost-effective service delivery.
Implement and maintain robust processes and procedures to ensure compliance with industry standards and best practices.
Manage vendor relationships, including contract negotiations, performance management, and quality control.
Permit Compliance Management:
Collaborate with the Permit Manager and stakeholders to manage end-to-end permitting processes for property management and construction projects.
Stay updated with landlords, local building codes, zoning regulations, occupancy requirements, and permit regulations to ensure compliance.
Coordinate and attend meetings with stakeholders and vendors to discuss and arrange permit requirements and address any issues or concerns.
Track and monitor the status of permit applications, ensuring timely responses to requests for additional information or documentation.
Maintain comprehensive and accurate records of all permitting activity, including approvals, denials, and modifications.
Client Relationship Management:
Establish and maintain strong relationships with clients, acting as the primary point of contact for all workplace-related matters.
Conduct regular client meetings to address concerns or issues and ensure high levels of client satisfaction.
Proactively identify opportunities to upsell additional services or suggest improvements to the client's workplace facilities.
Financial Management:
Prepare and manage budgets for workplace operations, ensuring expenses are aligned with the approved budget.
Monitor financial performance, identify variances, and implement corrective actions as necessary.
Provide regular financial reports to internal stakeholders and the client, highlighting key metrics and trends.
Qualifications and Skills:
Bachelor's degree in Property/Real Estate Management, Facilities Management, Business Administration, or a related field.
Minimum of [X] years of experience in facility or workplace management, preferably in a commercial real estate environment.
Strong understanding of facility operations, permit compliance, and building codes.
Excellent leadership and people management skills.
Proven ability to build and maintain strong client relationships.

Proficiency in using facility management software and MS Office Suite.

Experience & Education
Bachelor's degree
Minimum of 5 years of experience working in permit management or a similar role within the construction or real estate industry.
Strong knowledge of local, state, and international compliance and permit requirements and Regulations .
Excellent project management skills with the ability to prioritize tasks, manage multiple deadlines, and adapt to changing priorities.
Exceptional organizational skills and attention to detail.
Effective communication and interpersonal skills, with the ability to collaborate with various stakeholders including the Client, Stakeholders government officials, contractors, and clients.
Proficient in using technology tools and software for project management, document management, and data analysis.
Familiarity with the Property and Facilities Management and construction development process from concept to completion.
Ability to work independently and make informed decisions.
Problem-solving mindset and the ability to proactively identify and address potential issues.
Strong negotiation and persuasion skills.
Behavioral Competencies
Good skills on Microsoft Excel and PowerPoint.
Good skills on doing teamwork, follow up, governance of incidents.
Excellent communication skills both verbal and writings.
