About the Role: We are seeking a Workplace, Community, and Experience Specialist to join our team at AlphaSense, based in Pune. You\'ll be the primary point of contact for our Pune community and act as the "face" of our office, responsible for creating a thriving and productive environment where various teams can perform at their best. You will work hand in hand with the other Workplace, Community, and Experience team members, supporting the delivery of a best-in-class employee experience strategy for our team members across every hub location. You will lead our on-the-ground Pune office experience throughout the employee lifecycle, from supporting onboarding to the everyday working environment to planning engaging events for various occasions. As such, this role requires you to work from the office 5 days per week.

Who You Are:

  • 3-5 years of experience in office support, administrative support, customer-facing experience, or community-building positions (preferably in a high-growth tech company)
  • Friendly, accommodating, and approachable, driven to deliver a great in-office experience.
  • Curious, collaborative, and creative problem solver who is comfortable pushing back and building compromises with key stakeholders to deliver our WCE strategy with a local touch.
  • Detailed, dependable, self-aware, hard-working, and compassionate, with a proven ability to manage multiple priorities at once across all aspects of Workplace, Community, and Experience.
  • A team player with a strong customer service attitude and high standards for delivery.
  • Proficient in Slack or similar corporate instant messaging services, Google Suite (Calendar, Drive, Sheets, Slides), and MS Office (Excel, Word, PowerPoint).
  • Drive for professional growth opportunities, interest in the Workplace, Community & Experience function, and capability to work at a fast pace as part of a globally distributed team.

What You\'ll Do:

Workplace

  • Serve as the primary on-site contact for management and vendors.
  • Coordinate office repairs, security, safety, and maintenance to ensure a productive work environment.
  • Ensure office operations adheres to standard policies and compliances
  • Assist with local real estate lease management and office layout strategies, including implementation of our Fluid Working framework and executing office moves.
  • Manage visitor registration and office supply inventory, including snacks.
  • Maintain cleanliness through coordination with the janitorial team.
  • Keep the reception area and communal spaces tidy and well-maintained.

Community

  • Provide front-of-office support to all employees and guests, maintaining a friendly and helpful demeanor.
  • Plan and support internal events such as happy hours, lunch-and-learns, functional onsites, and All Hands, including setup and cleanup.
  • Manage event logistics such as sending calendar invites, gathering feedback, coordinating catering, and liaising with vendors for event services.
  • Act as a \'culture carrier\' and key point of contact for internal communications regarding the Pune office.

Experience

  • Support & enrich employee experience by managing new hire packages, leading employee gifting programs, and coordinating IT asset distribution and recovery.
  • Handle mail and delivery organization and distribution, ensuring timely receipt and dispatch.
  • Coordinate \'last mile\' travel arrangements for SLT/ELT visiting Pune office from other countries to ensure their security.
  • Follow organizational procurement and WCE spend management procedures to maintain accurate records and engage appropriately with vendors.
