This role is a critical support position that ensures the smooth and effective operation of our business processes. As a Back Office Staff member, you will play a key role in managing administrative tasks, data entry, and providing logistical support to various departments.Key Responsibilities: * Data Entry and Management:

  • Accurately input and update data into company databases and management systems.
  • Ensure the data is organized, consistent, and error-free.
  • Assist in maintaining records and files both electronically and physically.
  • Document Preparation and Filing:
  • Prepare, format, and proofread documents, reports, and presentations as needed.
  • Ensure all documents are properly filed, indexed, and readily accessible for other team members.
  • Assist in the preparation of invoices, purchase orders, and other necessary business documents.
  • Communication:
  • Assist in handling internal and external communications via phone, email, or in-person, ensuring all queries are addressed in a professional manner.
  • Serve as a liaison between departments to ensure efficient flow of information.
  • Support to Front Office and Management:
  • Provide administrative support to the front office team and senior management as needed.
  • Coordinate appointments, meetings, and other logistics for managers or teams.
  • Manage and track office supplies, ensuring they are stocked and organized.
  • Record Keeping and Reporting:
  • Maintain up-to-date records of transactions, orders, and other relevant business data.
  • Prepare periodic reports on business operations, sales, inventory, or other key performance metrics.
  • Assist in managing databases, spreadsheets, and online systems.
  • Inventory Management:
  • Support inventory management by tracking stock levels, preparing inventory reports, and assisting in reordering supplies when necessary.
  • Coordinate with suppliers and vendors for necessary office material or stock.
  • Miscellaneous Office Duties:
  • Support the human resources department with recruitment processes, onboarding, and training schedules.
  • Coordinate travel arrangements for staff, including booking accommodations and transportation.
  • Assist with event coordination for corporate functions or team-building activities.
Key Requirements:
  • Educational Qualification: Minimum of a high school diploma; Bachelors degree preferred.
  • Experience: Previous experience in back office, administrative, or data entry roles is highly desirable.
  • Skills:
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook).
  • Strong organizational skills with the ability to multitask effectively.
