Key Responsibilities:
  • Travel Arrangements:
  • Coordinate and book flights, accommodations, car rentals, and other travel services for employees and executives.
  • Ensure travel arrangements are within the company\'s travel policy and budget.
  • Handle visa applications, travel insurance, and other necessary travel documentation.
  • Vendor Management:
  • Maintain relationships with travel agencies, airlines, hotels, and other service providers.
  • Negotiate rates and contracts with vendors to secure the best deals.
  • Travel Itinerary Management:
  • Prepare detailed travel itineraries and ensure employees are well-informed of their travel plans.
  • Make adjustments to travel schedules as needed, handling cancellations and rebookings promptly.
  • Expense Management:
  • Monitor and track travel expenses, ensuring compliance with the company\'s travel policy.
  • Assist employees with travel expense reports and reimbursement processes.
  • Communication and Support:
  • Provide timely and effective support to employees regarding travel-related inquiries and issues.
  • Communicate travel policies and procedures to employees and ensure adherence.
  • Data Management and Reporting:
  • Maintain accurate records of travel bookings and expenses.
  • Prepare reports on travel expenditure, trends, and compliance for management review.
  • Compliance and Risk Management:
  • Stay updated on travel advisories, security issues, and health regulations.
  • Ensure employees\' safety and compliance with travel policies during trips.
  • Continuous Improvement:
  • Identify and implement process improvements to enhance the efficiency and effectiveness of the travel desk.
  • Stay informed about industry trends and best practices in corporate travel management.
Qualifications:
  • Education: Bachelor\xe2\x80\x99s degree in Business Administration, Hospitality Management, or a related field preferred.
  • Experience: Minimum of 2-3 years of experience in a corporate travel coordinator or similar role.
  • Skills:
  • Excellent organizational and multitasking abilities.
  • Strong negotiation and vendor management skills.
  • Proficiency in travel booking software and Microsoft Office Suite.
  • Effective communication and interpersonal skills.
  • Attention to detail and problem-solving skills.
  • Knowledge:
  • Understanding of corporate travel policies and procedures.
  • Familiarity with visa and immigration processes.
