As a Tour Operations Executive, you will be responsible for coordinating and executing all aspects of tour operations, ensuring smooth and memorable experiences for our clients. You will work closely with various teams and vendors to plan, organize, and execute tours efficiently while maintaining high levels of customer satisfaction. Key Responsibilities:
Tour Planning and Coordination:
Plan and customize tour itineraries based on client needs, budget, and destination.
Coordinate with transportation, accommodation, and activity providers to secure bookings and reservations.
Ensure all logistics including transportation, accommodation, meals, and activities are arranged efficiently and effectively.
Collaborate with the sales and marketing team to understand client requirements and preferences.
Client Communication and Support:
Act as the main point of contact for clients, providing pre-departure information, answering inquiries, and addressing concerns promptly.
Communicate tour details, including itinerary, packing lists, and travel documents, to clients in a clear and concise manner.
Provide assistance and support to clients throughout the tour, addressing any issues or emergencies that may arise.
Vendor Management:
Establish and maintain strong relationships with vendors, negotiating contracts and rates to ensure competitive pricing and quality service.
Coordinate with vendors to confirm bookings, resolve issues, and ensure smooth operations during tours.
Conduct regular evaluations of vendors to assess performance and identify areas for improvement.
Quality Assurance:
Monitor the quality of tour services provided by vendors, ensuring adherence to company standards and client expectations.
Conduct post-tour evaluations and gather feedback from clients to identify areas for improvement and implement necessary changes.
Implement measures to enhance the overall quality of tour experiences and customer satisfaction.
Administrative Tasks:
Maintain accurate records of tour bookings, payments, and client information using CRM software or other relevant systems.
Prepare tour-related documentation, including contracts, itineraries, and invoices, ensuring accuracy and completeness.
Assist in budgeting and financial management for tour operations, tracking expenses and revenue to ensure profitability.
Qualifications and Skills:
Preferably a Bachelor\'s degree or diploma in Tourism Management, Hospitality, Business Administration, or related field.
Proven experience in tour operations, travel agency, or hospitality industry.
Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
Excellent communication and interpersonal skills, with the ability to interact confidently with clients, vendors, and team members.
Proficiency in spoken and written Malayalam, English, and Hindi is essential. Proficiency in additional languages will be an added advantage
Detail-oriented with a focus on delivering high-quality service and exceeding customer expectations.
Proficiency in MS Office and familiarity with travel booking systems or CRM software.
Knowledge of destination management and travel regulations is an advantage.
Ability to work flexible hours, including evenings and weekends, to accommodate client needs and tour schedules.
