Job Summary
The Tour Executive is responsible for planning, organizing, and overseeing travel packages and tours for clients. This includes liaising with customers, booking transportation, accommodations, and other travel services, providing guidance during trips, and handling logistics to ensure customer satisfaction and safety.
Key Responsibilities
• Tour Planning and Organization
• Design and plan tour itineraries based on client preferences, budgets, and available resources.
• Coordinate with suppliers (hotels, airlines, transport providers) to secure bookings and negotiate rates.
• Ensure that all aspects of the tour are well-organized, including activities, meals, transportation, and accommodations.
• Customer Relations
• Provide personalized recommendations to clients regarding destinations, activities, and travel experiences.
• Answer inquiries from potential clients, providing details on tour packages and addressing concerns.
• Manage client communications before, during, and after the tour, ensuring high levels of customer service.
• Booking and Documentation
• Handle bookings for flights, hotels, tours, transfers, and any other related services.
• Prepare and issue travel documents such as itineraries, tickets, vouchers, and insurance details.
• Ensure all necessary travel permits, visas, and other documents are arranged for clients.
• Tour Management and Execution
• Escort or coordinate with guides and drivers to ensure the smooth operation of tours.
• Address any issues or changes that arise during the trip, ensuring the client's satisfaction.
• Monitor the tour's progress, manage time, and make adjustments as necessary.
• Marketing and Sales
• Promote and sell tour packages to potential clients via various channels, including social media, online platforms, and direct marketing.
• Develop and implement strategies to increase tour bookings and attract new clients.
• Track sales and client feedback to improve services and offerings.
• Financial Management
• Manage the budget for tours, ensuring that costs are within the allocated budget while still providing excellent service.
• Handle invoicing and payments for tours, maintaining accurate financial records.
• Monitor costs and suggest ways to enhance profitability.
• Collaboration and Teamwork
• Work with other team members, such as travel agents, tour guides, and operations staff, to deliver a seamless travel experience.
• Maintain positive relationships with suppliers, vendors, and other industry professionals.
• Post-Tour Activities
• Collect feedback from clients after the tour to assess satisfaction levels.
• Address any complaints or issues and make improvements for future tours.
• Maintain records of past tours and client preferences for future planning.
Qualifications and Skills
• Educational Requirements A degree or diploma in Travel and Tourism, Hospitality, Business, or a related field.
• Experience Previous experience in a similar role or the travel industry is preferred.
• Skills:
• Strong organizational and multitasking skills.
• Excellent communication and customer service skills.
• Proficiency in booking systems, travel software, and Microsoft Office.
• In-depth knowledge of travel destinations, attractions, and accommodations.
• Ability to handle and resolve travel-related issues calmly and efficiently.
• Sales and marketing skills to drive bookings and revenue.
