Job Summary:
The Tender Executive in Sales Operations is responsible for managing and coordinating the entire tendering process within the sales department. This role involves identifying tender opportunities, preparing tender documents, submitting bids, and ensuring compliance with all relevant regulations and guidelines. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work under tight deadlines.
Key Responsibilities:
• Tender Management:
• Identify and monitor tender opportunities from various sources.
• Evaluate and analyze tender requirements and eligibility criteria.
• Coordinate and manage the entire tender process, from initial inquiry to submission.
• Documentation and Compliance:
• Prepare and compile all necessary documentation for tender submissions.
• Ensure all tender documents are accurate, complete, and comply with company standards and client requirements.
• Maintain an up-to-date database of all submitted tenders and their statuses.
• Collaboration and Communication:
• Work closely with internal departments, including sales, finance, legal, and technical teams, to gather required information and inputs for tender submissions.
• Communicate effectively with clients, suppliers, and stakeholders regarding tender-related inquiries and clarifications.
• Coordinate pre-tender meetings and presentations as required.
• Bid Preparation and Submission:
• Develop competitive and compelling bid proposals that align with client needs and company capabilities.
• Review and edit bid responses to ensure clarity, consistency, and professionalism.
• Submit completed tenders within the specified deadlines.
• Post-Tender Activities:
• Monitor and track tender outcomes, including feedback and results from clients.
• Analyze and report on tender performance, identifying areas for improvement.
• Assist in the negotiation and finalization of contracts following successful tender awards.
Qualifications:
• Bachelor's degree in Business Administration, Sales, Marketing, or a related field.
• Minimum of 2 years of experience in tender management, sales operations, or a similar role.
• Strong understanding of tender processes and documentation requirements.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Strong organizational and time management skills, with the ability to handle multiple tasks simultaneously.
• Attention to detail and accuracy in all aspects of work.
• Ability to work under pressure and meet tight deadlines.
• Knowledge of industry-specific regulations and standards (optional, if applicable).
Preferred Skills:
• Experience with CRM software and tender management tools.
