Position Overview:
The Tender Executive is responsible for overseeing the preparation and submission of tenders, ensuring that bids are completed in accordance with client specifications and company standards. The role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple deadlines effectively. The Tender Executive will collaborate with various departments such as sales, legal, finance, and technical teams to gather relevant information for tender submissions.
Key Responsibilities:
• Tender Preparation & Submission:
• Coordinate and manage the preparation of tender documents, proposals, and bid submissions in accordance with client requirements.
• Compile and organize all necessary documentation including technical specifications, financials, legal terms, and other relevant information.
• Ensure timely submission of tenders, proposals, and pre-qualification documents.
• Manage the tender portal for uploading, monitoring, and ensuring all submissions are completed before deadlines.
• Liaison & Coordination:
• Work closely with the sales team to identify opportunities for tenders and ensure alignment with business goals.
• Collaborate with internal departments (legal, finance, procurement, technical teams) to gather necessary information for bids.
• Liaise with external stakeholders, such as suppliers and subcontractors, to obtain pricing and technical information.
• Bid Analysis & Review:
• Analyze tender documents and evaluate the requirements, risks, and opportunities for the company.
• Ensure compliance with both client specifications and internal procedures.
• Conduct post-bid evaluations and lessons-learned meetings to continuously improve future submissions.
• Cost Estimation & Budgeting:
• Assist in preparing cost estimates and budgets for tenders, ensuring profitability while maintaining competitiveness.
• Analyze competitors' bids and market trends to suggest appropriate pricing strategies.
• Documentation & Record Keeping:
• Maintain comprehensive and accurate records of submitted tenders, bids, and proposals.
• Ensure all documentation is kept up-to-date and is easily accessible for future reference and audit purposes.
• Compliance & Standards:
• Ensure that tender submissions meet industry standards and regulatory requirements.
• Maintain up-to-date knowledge of tendering procedures, market trends, and industry best practices.

• Attention to Detail: Meticulous in preparing documents to avoid errors in submissions.
• Project Management: Ability to handle multiple tenders simultaneously, meeting strict deadlines.
• Communication Skills: Excellent verbal and written communication to liaise with different departments and stakeholders.

• Negotiation Skills: Confident in dealing with suppliers and subcontractors to secure favorable terms.
• Proficiency in Software: Experience with tendering portals, MS Office Suite (especially Excel), and other relevant software.
Qualifications & Experience:
• Bachelor's degree in business, or a related field.
• Proven experience in tender management, bidding, or procurement roles.
• Knowledge of local and international tender regulations.
• Familiarity with industry-specific standards and requirements, depending on the sector (e.g., construction, energy, public procurement).
