The Tender Executive is responsible for coordinating and managing the entire tender process for the organization. This role involves preparing and submitting competitive bids and proposals in response to solicitations from clients. The Tender Executive ensures compliance with all tender requirements and works closely with various departments to gather necessary information and documentation.
Key Responsibilities:
• Tender Identification and Analysis:
• Monitor and identify relevant tender opportunities from various sources.
• Analyze tender documents to understand project requirements and scope.
• Tender Preparation:
• Coordinate with internal teams to gather necessary information and documentation.
• Prepare and compile all tender documents, including technical and financial proposals.
• Ensure all submissions are accurate, compliant, and submitted within deadlines.
• Cost Estimation and Budgeting:
• Collaborate with the finance and project management teams to prepare cost estimates.
• Develop and manage budgets for tender proposals, ensuring competitive pricing.
• Stakeholder Communication:
• Liaise with clients, suppliers, and subcontractors to obtain necessary inputs.
• Maintain effective communication with all stakeholders throughout the tender process.
• Compliance and Documentation:
• Ensure all tender documents comply with company policies, legal requirements, and industry standards.
• Maintain organized records of all tender documents and correspondence.
• Post-Tender Activities:
• Follow up on submitted tenders to gather feedback and results.
• Participate in contract negotiations and clarifications if required.
• Assist in the handover process to project execution teams upon successful tender award.
• Market Research and Analysis:
• Conduct market research to stay informed about industry trends and competitor activities.
• Analyze the success rates of past tenders to improve future bidding strategies.
• Reporting and Documentation:
• Prepare regular reports on tender activities, success rates, and lessons learned.
• Document and archive all tender-related information for future reference.
