We are seeking an experienced Tender Executive to join our team. The ideal candidate will have a strong background in tender management, documentation, and the ability to handle both government and non-government portals. If you're versatile, quick to learn, and have a keen eye for detail, we want you on our team.
Key Responsibilities:
1. Tender Search & Identification:
Search for tenders on various government (GEM) and non-government portals.
Stay updated with new tender opportunities relevant to our business.
2. Tender Preparation & Submission:
Fill out and complete all required tender documentation, ensuring accuracy.
Submit tenders physically or upload them online, collaborating closely with the sales team.
3. Financial & Compliance Management:
Announce and manage Earnest Money Deposit (EMD), Bank Guarantees (BG), and security deposits.
Ensure all financial and regulatory requirements are met for each tender submission.
4. Win/Loss Analysis:
Perform detailed win/loss analysis for submitted tenders.
Provide insights to improve future tendering efforts.
5. Reverse E-Auction Management:
Participate in and manage reverse e-auctions effectively.
Maintain a good understanding of the reverse auction processes.
6. Coordination & Meetings:
Arrange meetings with buyers and attend pre-bid meetings when necessary, in collaboration with the sales team.
Build and maintain relationships with buyers to ensure smooth tender processes.
7. OEM Liaison:
Stay connected with OEMs (Original Equipment Manufacturers) to keep up with the latest prices and documentation requirements.
8. Documentation & Compliance:
Ensure all tender-related documentation is properly completed and stored.
Maintain accurate records of all submissions, updates, and approvals.
9. Versatility & Quick Learning:
Adapt quickly to new tender procedures and platforms.
Be proactive in learning and implementing new skills related to tender management.
Required Skills and Experience:
Minimum 3-5 years of experience in AV Solutions industry handling tenders and e-auctions, with strong documentation skills.
Mandatory experience in managing tenders on GEM portals.
Excellent understanding of the complete tendering process, including reverse auctions.
Strong communication and coordination skills to liaise with internal teams and external buyers.
Highly detail-oriented with the ability to meet tight deadlines.
Proficiency in MS Office (Word, Excel, PowerPoint) and online tender platforms.
