Job Description


The Tender Executive is responsible for managing the end-to-end tendering process, from the identification of tender opportunities to the submission of tender documents. The role involves coordinating with various departments, ensuring compliance with tender requirements, and maximizing the chances of successful bids.Key Responsibilities:Tender Identification:

  • Monitor and identify relevant tender opportunities from various sources, including online portals, newspapers, and government websites.
  • Analyze the requirements and eligibility criteria for tenders.
Documentation and Compliance:
  • Prepare and compile tender documents, ensuring all required documentation is accurate and complete.
  • Ensure that all tenders are submitted in accordance with the specified guidelines and deadlines.
  • Liaise with legal and compliance teams to ensure all legal requirements are met.
Coordination and Communication:
  • Coordinate with internal departments (such as finance, legal, technical, etc.) to gather necessary information and documentation.
  • Communicate with clients, vendors, and partners to clarify tender requirements and gather relevant data.
Cost Estimation and Bid Preparation:
  • Assist in the preparation of cost estimates and budgets for tender submissions.
  • Work with the finance team to prepare financial documents and pricing strategies.
  • Draft and finalize tender submissions, ensuring they are competitive and align with company goals.
Post-Tender Follow-Up:
  • Track the status of submitted tenders and follow up with clients or authorities as required.
  • Maintain records of all submitted tenders and outcomes for future reference and analysis.
  • Provide feedback and analysis on unsuccessful tenders to improve future submissions.
Market Research:
  • Conduct market research to understand industry trends, competitor strategies, and potential clients.
  • Identify new business opportunities and recommend strategies to pursue them.
Reporting:
  • Prepare regular reports on tender activities, including the status of current bids, success rates, and areas for improvement.
  • Report to senior management on key developments, challenges, and opportunities in the tendering process.
Qualifications and Skills:
  • Education: Bachelor\'s degree in Business Administration, Finance, Engineering, or a related field.
  • Experience: 2-5 years of experience in tender management, procurement, or a related role.
  • Skills:
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Knowledge of tendering procedures and legal requirements.
  • Ability to work under pressure and meet tight deadlines.
  • Analytical and problem-solving skills.
