Objective:

To ensure a professional and efficient front desk operation, providing excellent telephonic communication and customer service to enhance the overall experience for clients and visitors.

Responsibilities:

1. Front Desk Operations:

- Greet and welcome visitors in a courteous and professional manner.

- Manage incoming calls, promptly directing them to the appropriate department or individual.

- Maintain a tidy and organized reception area, creating a positive first impression for guests.

2. Telephonic Communication:

- Answer, screen, and forward incoming calls efficiently, ensuring a high standard of customer service.

- Provide information to callers, take messages, and transfer calls to appropriate personnel.

- Handle inquiries with professionalism, addressing customer needs and concerns.

3. Appointment Scheduling:

- Schedule appointments for clients or visitors with relevant staff members.

- Coordinate and confirm appointments to ensure optimal utilization of time.

4. Administrative Support:

- Assist with administrative tasks, including sorting and distributing mail, handling courier services, and maintaining office supplies.

- Ensure accurate record-keeping of visitor logs and contact information.

5. Customer Assistance:

- Act as the first point of contact for clients and visitors, offering assistance and guidance as needed.

- Provide basic information about the organization and its services.

6. Communication Liaison:

- Serve as a communication link between various departments, relaying messages and ensuring effective internal communication.

7. Technology Proficiency:

- Utilize office equipment such as telephone systems, fax machines, and computer systems proficiently.

- Ensure the efficient operation of telecommunication systems.

8. Problem Resolution:

- Address and resolve customer inquiries or complaints promptly and professionally.

- Escalate complex issues to the appropriate department for further resolution.

9. Multitasking:

- Handle multiple tasks simultaneously, including managing phone lines, welcoming visitors, and providing administrative support.

10. Adherence to Protocols:

- Follow established protocols for security, privacy, and confidentiality.

- Implement and maintain reception procedures to ensure a smooth workflow.

Qualifications and Skills:

- Excellent verbal communication skills.

- Strong organizational and multitasking abilities.

- Proficiency in using office equipment and computer systems.

- Pleasant and professional demeanor.

- Customer service orientation.

- Previous experience in a receptionist/tele caller role is preferred.

By effectively fulfilling these responsibilities, the Receptionist/Tele caller plays a crucial role in creating a positive and welcoming atmosphere for clients, visitors, and staff members.

Pay: ?8,000.00 - ?15,000.00 per month
