Key Responsibilities:
Reception Duties:
• Front Desk Management : Greet and welcome visitors as soon as they arrive at the office.
• Visitor Assistance : Direct visitors to the appropriate person and office, ensuring they are comfortable while waiting.
• Phone Management : Answer, screen, and forward incoming phone calls while providing basic information when needed.
• Mail Handling : Receive, sort, and distribute daily mail/deliveries.
• Office Supplies Management : Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
• General Administrative Support : Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
Telecalling Duties:
• Client Outreach : Make outbound calls to potential clients to introduce the firm's services.
• Follow-up Calls : Follow up with clients regarding ongoing projects, audits, and service feedback.
• Appointment Setting : Schedule and confirm appointments for consultations and audits.
• Client Database Management : Update and maintain client information in the database.
• Inquiries Handling : Handle inquiries from clients and provide accurate information regarding services offered by the firm.
• Feedback Collection : Collect feedback from clients after service completion and report to the management.
