Inventory Management :
• Keep track of all items received and issued from the store.
• Maintain accurate records of inventory levels, ensuring that all stock is accounted for.
• Conduct regular stock checks and audits to prevent discrepancies.
Receiving Goods :
• Verify that goods received match the purchase orders in terms of quantity and quality.
• Record details of incoming goods in the inventory system.
• Ensure that all received goods are properly labelled and stored.
Issuing Goods :
• Process requests for goods from different departments within the hotel.
• Record details of goods issued, including the requesting department, quantity, and date.
• Ensure that issued goods are accurately recorded to maintain inventory balance.
Billing and Invoicing :
• Prepare invoices for goods received and issued.
• Ensure that all invoices are accurate and include necessary details such as quantities, prices, and dates.
• Process and verify supplier invoices against purchase orders and delivery notes.
Cost Control :
• Monitor and report on inventory costs, identifying any variances or discrepancies.
• Implement measures to control costs and reduce waste.
• Provide regular reports on inventory usage and costs to management.
Documentation and Record-Keeping :
• Maintain comprehensive records of all transactions, including receipts, issues, and adjustments.
• Ensure that all documentation is filed and stored securely for future reference.
• Update inventory management software or systems with accurate and timely data.
Coordination with Other Departments :
• Work closely with the purchasing, finance, and various operational departments to ensure smooth operations.
• Communicate effectively with other departments regarding stock availability, shortages, and delivery schedules.
Compliance and Standards :
• Ensure compliance with hotel policies and procedures, as well as relevant regulations and standards.
• Maintain cleanliness and organization within the store area to meet health and safety standards.
Reporting :
• Generate regular inventory and billing reports for management review.
• Provide insights and recommendations based on inventory data to support decision-making.
