Job Description

Effect issue of all items indented by all sub stores / departments against a valid and approved indent, if the items are in stock, within 24 hours.

Should raise PRs (Purchase Requisitions) for such of those items on Indent against which issues could not be effected due to non-availability of stock,

Within 24 hours of their receipt, under ordinary circumstances.

The PRs would be based either upon predetermined Reorder Levels or based on unfulfilled indents received from any sub stores / departments, on the medics system or on manual system ( if a department is not mapped to any sub store

Should regularly monitor the status of PRs raised; bring to the notice of higher authorities, any delay in conversion of PRs in to POs.

Should raise GRINs for all drugs / materials / equipment received from the vendors, against DCs / Invoices (except in case of consignment items for which separate instructions exist)

The approval of GRINs should be based on correctness of the quantity, adherence to quality as per the specifications and adherence to the delivery schedule indicated in the PO.

Any discrepancies are to be brought to the notice of the Unit Head.

Should initiate action for rejection of the total consignment, if specifications are not adhered to and return of one or more quantities if not conforming to the specifications, under intimation to and approval from his superiors.

On receipt, he should store the items neatly and in their assigned locations, to facilitate issue based on FIFO principle.

He is to keep a record of all batch numbers of received drugs and other items with shelf and total life.

Should keep a track of the pending PRs(for raising Pos) and inform the Stores in Charge about delays with a view to expedite procurement through liaison with the Purchase Assistant

Preparing of monthly reports for the perusal of the Purchase Manager/ Unit Head / CMO, of the total volume of PR s raised during the month, compiled category wise, Delays experience in conversion of Indents to PRs and PRs to POs, if any, along with reasons, Satisfaction index of the indents from sub stores / Departments etc. He should also compile any other additional data required in connection with the activities performed by him and the staff under him during that month.

Should analyzing all such data, with a view to improving upon the performance levels of the Key Performance Indicators pertaining to his area of work.

Should provide regular feed back to the Unit Head, on any undesirable trend in respect of consumption such as increased consumption without valid reasons and act on his advice.

Should accept requests for new items to be included in the Item Master (Drug / material / Supplier) & process.

With regard to consignment purchase items, he will accept them from approved vendors, against a valid indent from the unit Purchase Department, raise a consignment GRIN, take them in to stock and issue to the concerned sub store.

Towards replenishing the consumed stock, he will receive replenishment indents directly from the sub stores concerned and forward the same to the Stores in Charge, without raising a PR, for further processing.

He should bring on charge free and sample items, as per laid down instructions.
