Position Summary


The Specialist - US Payroll Tax is responsible for ensuring accurate and timely processing of payroll taxes in compliance with federal, state, and local regulations. This role involves meticulous attention to detail, comprehensive knowledge of payroll tax laws, ability to handle confidential information with integrity and ability to manage multiple tasks to meet deadlines. The ideal candidate will work closely with the payroll team and other departments to maintain compliance and resolve any tax-related issues.

Your Responsibilities


Payroll Tax Processing and Reporting:
  • Process payroll taxes accurately and timely for all employees.
  • Calculate and withhold appropriate federal, state, and local taxes from employee paychecks.
  • Prepare and file periodic payroll tax returns, including but not limited to Form 941, Form 940, state unemployment, and local tax returns.
  • Prepare and distribute W-2 forms annually.
  • Maintain accurate payroll tax records and documentation.
Compliance and Regulations:
  • Stay updated with changes in payroll tax laws and regulations.
  • Ensure compliance with all federal, state, and local payroll tax requirements.
  • Assist in audits by providing necessary payroll tax information and documentation.
Issue Resolution:
  • Address and resolve payroll tax discrepancies and issues.
  • Respond to payroll tax-related inquiries from employees and regulatory agencies.
  • Collaborate with internal teams to resolve payroll tax issues and discrepancies.
System Maintenance and Improvement:
  • Maintain and update payroll tax tables in payroll systems.
  • Participate in system testing and upgrades related to payroll tax functionality.
  • Recommend and implement process improvements to enhance efficiency and accuracy in payroll tax processing.

Experience and educational qualification


  • Bachelors degree in accounting, Finance, Business Administration, or a related field preferred.
  • Minimum of 3-5 years of experience in US payroll tax processing and filings.
  • Experience with SAP HCM and SAP SuccessFactors will be an added advantage.
  • Strong knowledge of federal, state, and local payroll tax regulations.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Excellent analytical and problem-solving skills.
  • Good communication and interpersonal skills.
