WHAT YOU\'LL DO They will be responsible for day-to-day functions of administration department with a focusHard Service, Client Area Experience Management, Employee experience management, , Inventory & Store Management, Vendor Management, Space Management, Events coordination, Day-To-Day Site Operations, Security & liaison with government bodies.They will also be handling back-office operation for establishing new system and processes in the office, including but not limited to IFM initiatives, technology initiatives, green initiatives, AQI & Energy conservation methods. YOU\'RE GOOD AT They will be responsible for day-to-day functions of administration department with a focus on the following areas: Mechanical Electrical Services Carpentry & Plumbing Services Repair & Maintenance Activities Pest Control Fire & Life Safety BMS Billing, MIS, Control & Reporting Security EHS & Sustainability Energy Monitoring & Conservation AQI Monitoring & Dashboarding Automation & Technology enablement Work Closely with the external IFM Site Lead & down team. Detailed Responsibilities: Keep a track of all equipment\'s stalled in the facility. Manage Inventory / Asset Register. Develop and implement a preventive and planned maintenance program to minimize Adhoc maintenance, repair, and replacement cost to maximize the equipment life cycle Manage maintenance contract process Manage all equipment warranties and guarantees Ensure that all maintenance works are completed within the time frame and budget Ensure that action requests for analysis and annual advice on occupational health & safety for the premises are completed. Verify & certify works being carried out by contractor\'s for release of payments. Record scheduled and unscheduled maintenance in a summary database. Develop inspection timetable. Initiate the identification of problem issues and provide timely solutions to rectify the problem issues. Review Root Cause Analysis & Submit timely report post incident. Establish a detailed timetable for resolving the problem issues. Own the 52 week planner of all scheduled maintenance activities Review Machine History Cards Template Ensure that Escalation Charts for Equipment are installed and updated Critical Spares List/ Parts Inventory Legal & Statutory Compliance Tracker Single Line Diagrams Fire Alarm System, supported by Fire Suppression System Checklist for the Server UPS Logbook Precision Air Conditioning Logbook Ensure that all fire/life safety equipment such as fire panels, sensing smoke, heat & flame detectors, sprinkler system flow & tamper devices, fire hydrant systems hoses etc., kitchen fire suppression systems, emergency lights, exit signs etc. are continuously operational to meet all Fire & Life Safety building and associated codes. Coordinate with appointed security service vendor on all fire alarm responses and ensure that all issues are appropriately addressed. Ensure that all malfunctioning devices are appropriately fixed in a speedy manner and back up provisions are maintained to ensure that appropriate Fire Life Safety levels are maintained. Ensure that all portable fire extinguishers charged and maintained as per applicable codes. Ensure regular testing of all Fire Life Safety Equipment per applicable codes. Ensure that all fire/life safety specific maintenance and testing such as flow tests, alarm tests, smoke/heat detector tests etc. consistent with mandated practices and frequencies. Support employee engagement activities & Initiatives being held in office Responsible for development of all maintenance related schedules and shutdowns in consultation with Site lead / OEMs Liaising with Building Management and regulatory bodies like Local Government Agencies for obtaining necessary sanctions / approvals and ensuring smooth working condition in premises. Liaising with OEM\'s & contractors, vendors. Interacting with different department for executing the maintenance of all equipment in the organization and enhancing the overall efficiency Preparing and supervising maintenance of statutory records Orders and receives invoices, distributes according cost center Track vendor payments ensuring timely billing for all service partners Generate MIS for all technical topics. Store Management- maintenance / issuance of items, stock take etc. YOU BRING (EXPERIENCE & QUALIFICATIONS) Electrical / Mechanical Engineering graduate with min 8 + years of relevant experience in Facilities Management, Administration and Office Management Use of MS Office Advanced Skills on Excel & Data Analytics Working knowledge of Presentation Software\'s Power Point, Power BI, MS Office Demonstrated ability in the following areas: Superior confidence in handling internal customers Should be Dynamic with Superior communication skills. Ability to handle matters with extreme tact and confidentiality.
