Job Description


Your RoleInternal Customers and Stakeholders:Service Sales (Middle East), Workshop Manager, Operations Manager, Equipment Sales team.Service Admin Responsibilities:

  • Order Management: Oversee the entire order lifecycle from entry through to fulfillment, ensuring a smooth, efficient process that aligns with our commitment to exceptional customer service.
  • Customer Communication: Be the primary contact for customer orders, providing timely and accurate updates to enhance customer satisfaction and trust. Ensure transparency at every stage of the order process.
  • Team Coordination: Collaborate closely with cross-functional teams including Sales, Workshop, FS Operation, Logistics, to streamline service, parts delivery and resolve any issues that may arise ensuring that every team is aligned with our customer needs and expectations.
  • Process Improvement: Continually assess and optimize administrative processes and workflows to improve efficiency and effectiveness. Implement new methods and technologies as needed to support order processing and customer engagement.
  • Reporting and Documentation: Maintain detailed records of customer interactions, order data & status, service issues using tools like SAP, Power BI, Provide regular reports to Service Sales & Workshop Management to inform them of ongoing activities, conflicts, and progress towards goals.
  • Shipping and Transactions: Prepare shipping papers where necessary and handle transactions for overseas orders.
  • Planning & Scheduling -
To proactively plan and schedule the workshop pump services with an objective to optimize service resources to achieve high degree of efficiency and customer satisfaction within the divisional policies and guidelines.Forward planning of workshop pump services. Create RMA , Coordinate with customers & dealers for Pump return, getting HS2 form along with pump.Track pumps in WIPSubmit strip report & offer to customer.Follow up on \'Customer hold\'pumpsIntimate pump readiness to Logistic team.Perform Start to End Service Process in SAP. * Reporting -Submission of reports in time as per the defined intervals.Escalation at an appropriate level to resolve the customer concerns.Maintain reports like Utilization, Efficiency, TAT, WIP, .Maintain Strip reports, Test reports, Pump log book & Service records.ME Order receipt & order invoicing, Open orders data. * Communication-Service & order status update Communication to Internal & External stakeholders
This would be through daily reports or relevant forms, e-mail and telephone communications.Report contract renewal in advance to Service Sales team. Compliance with Corporate Guidelines-

  • 4-5 years working experience in the similar field.
Task Management and Coordination Expertise:
  • Shows exceptional organizational skills, multitasking across tasks while ensuring accuracy and attention to detail.
  • Coordinates logistics and updates proactively, keeping order processes running smoothly
  • Manages accurate data entry, ensuring information is correctly captured and maintained.
Transactional Skills and SAP Expertise
  • Proficient in conducting SAP transactions, with specific expertise in SD (Sales and Distribution) and CS (Customer Service) modules, enhancing efficiency in order management and customer service operations.
Team Coordination and Relationship Skill:
  • Expert in cultivating trust and fostering collaboration across internal teams (STC, FSE, Logistics, and Sales) to enhance service delivery and meet our customer expectations.
Adaptability and Issue Resolution: * Experienced in spotting and creatively fixing issues to prevent disruptions and ensure customer satisfaction.
  • Responding to and managing changes effectively, ensuring continuous service excellence in dynamic environments.
Task Prioritization:
  • Prioritizing and delivering tasks to ensure on-time order fulfillment and compliance with established timelines
Other requirements:
  • Excellent verbal and written English communication
  • MS office proficiency
