Senior Facilities Executive - Technical and Soft Work Dynamics What This Job Involves To Assist Facilities Manager for the smooth running of operations. Developing and implementing building procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems. Ensure coordination for booking of conference/Meeting Rooms, food & beverage service, availability of AV equipment\'s, projectors and other requirements. Ensuring an adequate supply of materials and service for the proper operation of the buildings and enter supply and service contracts as approved by client. Routinely inspect all contracted services to ensure performance measures are being maintained. Develop contact and coordinate with Security team, GIT/IT, Admin team, Business team. Ensure compliance of regulations / requirements. Manage all Health and Safety issues and actively participate in Health and Safety reviews. Assist with the re-sourcing of other aspects of JLL\'s operation as required. Preparing and maintaining the risk registers and Health and Safety guidelines. Assist in the preparation of Monthly Management Report and Quarterly Business Review reports. Handle Cafeteria and Pantry Operations and conduct audit for food and beverage. Compile and follow-up Landlord Rental & CAM Invoices and Processing. Follow-up with the vendor for timely submission of invoices. Regular training of all the soft services staff assigned. Managing cleaning services, focusing on common areas; using knowledge of the methods and practices in janitorial operations including details on cleaning chemicals, usage of consumables, maintenance & repair of equipment, waste management and hygiene & sanitation standards. Taking daily rounds of the premises to identify various cleaning needs in the building and ensuring the same is rectified with support from other team members. Creating work plans/schedules, inspecting, and assigning cleaning / maintenance work to subordinate teams. Briefing and De-briefing all staff regarding their duties, designated areas of work and special instructions if any during the start and end of shift. Establishing and implementing operational standards and procedures for the departments supervised. Maintain inventory stock to ensure that supplies and equipment are available in adequate amount. Preparing reports like MMR, QBR (quarterly business review ) and other related reports at site. Performing tasks, such as estimating costs and preparing / managing budgets. Managing vendor personnel for assigned units (vendor contracts, compliance, attendance etc.). Responsible for maintaining discipline at site with proper attire and etiquette in the staff supervised. Supporting employee relations\' issues & statutory compliances. Preparing and implementing various checklists, at the frequency instructed in the client/SME suggested formats. Ensure Planned Preventive Maintenance activities are undertaken in accordance with the schedule. Ensure implementation of Safe work practices Implement regular inspections of the facility on energy conservation, maintenance practices, utility management and risk management procedures. Implement the pre-emptive maintenance program to reduce the risk of sudden failures of critical equipment. Provide training to on-site teams on equipment procedures and implementation. Support service delivery teams on equipment maintenance and upkeep. Conduct regular inspections to ensure that the procedures are being followed and updated as required. Ensure compliance with statutory regulations on fire, health, and safety standards. Ensure all safety procedures, including Crisis Management/ Business Continuity and Emergency Procedures are always maintained. Initiate strategies to achieve measurable improvements in energy consumption. Prepare / provide input to the site monthly report to be submitted to client Putting best practices in place. Planning and Execution of Annual Shutdown activity & Incident management Meet or exceed best practice in provision of services through contracts. Achieve key performance indicators & Service level agreement targets. To provide comprehensive facility and contract management for Client, with a focus on continuous improvement. Compliance with the Service Level Agreement established between JLL and Client. Perform as per KPI stipulated by Facilities Manager and ensure delivery of specific responsibilities as assigned. Adherence to training schedules/52-week calendars Sound like you To apply you need to have: Senior facilities executive - Soft & Technical will have responsibility for the management of a wide range of on-ground issues & to provide timely inputs to ensure smooth day-to-day operations. Need to be highly familiar with the service structure, including responses to requests for assistance on Facilities Management issues from Client staff and arrangements pertaining to all operating expenditures. Responsible for daily reporting on the soft Services & M&E to the Facilities Manager/ Account Director. Generate Service maintenance reports on office equipment\'s, Inventory and Purchasing of spares and consumables and any downtime and breakdown incident reports.
