: Event Manager
Position Summary:
The Event Manager at WEDO is responsible for planning, coordinating, and executing a variety of events, ensuring they run smoothly and achieve organizational goals. This role involves overseeing all aspects of event planning and management, including budgeting, logistics, vendor relations, and on-site coordination. The Event Manager will work closely with internal teams and external partners to deliver high-quality events that meet and exceed expectations.
Key Responsibilities:
1. Event Planning and Coordination:
- Plan, coordinate, and execute events from conception to completion, including conferences, workshops, seminars, and social events.
- Develop detailed event plans, timelines, and schedules to ensure all aspects of the event are meticulously organized.
2. Budget Management:
- Create and manage event budgets, ensuring all expenses are tracked and within allocated funds.
- Negotiate contracts with vendors and suppliers to obtain the best possible rates.
3. Logistics and Operations:
- Oversee all logistical aspects of events, including venue selection, catering, transportation, and accommodation arrangements.
- Coordinate with vendors, suppliers, and service providers to ensure timely and efficient delivery of services.
4. Vendor and Partner Relations:
- Establish and maintain strong relationships with event vendors, suppliers, and partners.
- Manage vendor contracts and ensure all terms and conditions are met.
5. Marketing and Promotion:
- Collaborate with the marketing team to develop and implement event marketing and promotion strategies.
- Utilise various channels to promote events and attract attendees.
6. On-site Event Management:
- Manage on-site event operations, including setup, execution, and teardown.
- Ensure all event activities run smoothly and address any issues or challenges that arise promptly.
7. Attendee and Participant Engagement:
- Provide excellent customer service to event attendees and participants.
- Handle inquiries, registrations, and feedback to ensure a positive event experience.
8. Post-Event Evaluation:
- Conduct post-event evaluations to assess event success and gather feedback from attendees and stakeholders.
- Prepare detailed reports on event outcomes, including attendee satisfaction and ROI.
9. Compliance and Safety:
- Ensure all events comply with relevant regulations, health and safety standards, and organisational policies.
- Implement risk management strategies to ensure the safety and security of all event participants.
10. Continuous Improvement:
- Stay informed about industry trends and best practices in event management.
- Identify opportunities for innovation and improvement in event planning and execution.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field.
- Proven experience in event planning and management, with a successful track record of organising events of various sizes and types.
- Strong organisational and project management skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency in event management software and tools.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Experience in negotiating contracts and managing vendor relationships.
- Knowledge of marketing and promotion strategies for events.
- Familiarity with industry trends and best practices in event management.
Working Conditions:
- Full-time position.
- May require occasional evening or weekend work to support events and activities.
- Ability to travel as needed for event planning and execution.
