Senior Administration Assistant POSTION SUMMARY :
All brands strategy, product development and innovation are lead and driven by certain PVH affiliates in the US with respect to products under the Calvin Klein, Heritage, and Tommy Hilfiger NA and SA brands and in the Netherlands with respect to products bearing the Tommy Hilfiger Europe, Calvin Klein Europe and Asia brand.
The position in this job description provides support on strategic, developmental or innovation activities to the above mentioned PVH related parties.
• To provides administrative support in assigned areas, e.g. parcel shipments, travel arrangement, office supplies/services procurement, maintenance of office equipment, administer contracts for administrative arrangements, and general administrative support. PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES
• Supervise all the front office office functions handled by front office executive.
• To maintain PVH guest list
• To handle duty payment related queries
• To manage the mail correspondence related to KYCs, courier
Office Premise
• Responsible for organizing repairs of the A.C. system, lighting, lifts & washrooms
• To work with cleaning company to make sure cleanliness of all the workplace
• To tour around the office to check the tidiness of workplace and arrange repairing works with contractor/service provider
• Upkeep of office
• Assist in minor office modifications with fit-out company / contractors
Office Supplies
• To manage stock level and replenishment of office supplies, Groceries, places order, checks deliveries & dispatch to related teams / associates after deliveries.
• To follow up with printers for the printing of name cards or other printed matter
• To arrange stationery and support for new joiners
Clerical Support
• To verify invoices in relation to visa application & office supplies
• To update the telephone directory, seating plan and floor plan
• To produce simple reports when necessary
• To render clerical support to Admin Dept
• To assist setting up of event venue, arrange snacks and beverages, guide guests to the venue, etc for employee engagement events, conference, high official meeting etc
• Any other duties as assigned by manager
• Coordinating with the landlord office, Electricity, Telephone office (coordinate for what?)
• To assist the manager to renew non-lease contract with travel agent, courier service, car service, A/C, cleaning, etc.
• To verify invoices for Finance to arrange payment
• Coordinate with vendors on AMC's, contract, rate negotiation, and onboarding new vendors
Travel
• Hotel booking and Local transport for visitors when necessary
• Local transport for Associates to visit factories and airport transfers
• Coordinate with taxi agency on lease cars
• Work with local travel agent regarding ticketing issues from associates.

QUALIFICATIONS & EXPERIENCE
Education & Experience:
• Minimum of 6 years of related experience
• Post-secondary degree. University degree in Business Administration or Finance preferred.
Skills:
• Proficient in Microsoft Excel, Outlook, Word and PowerPoint
• Good communication in English, Bengali
