Key Responsibilities

1.

Overseeing Facility Operations & Site Surveys



Supervise daily operations across various departments, including

housekeeping

,

catering

,

event management

,

manpower

, and

security

. Conduct comprehensive

site surveys

to assess operational needs and formulate appropriate strategies.

Analyze manpower requirements

, optimizing for factors such as gender balance, skill levels, and shift scheduling. Define

duty hours

, create

shift schedules

, and ensure optimal workforce distribution for routine and emergency tasks (daily, weekly, monthly, and 24/7 availability when necessary). Oversee

day-to-day operations

, managing the operations team and ensuring smooth execution of tasks.

Monitor employee performance

, providing coaching, training, and feedback for improvement. Manage the

supply chain

processes, including inventory management, production, sales, and sourcing. Prepare and submit

operational reports

to senior management regularly. Maintain effective

communication

and coordination with vendors, authorities, and the head office of the organization. Handle additional tasks as assigned by management.

Quality Control & Continuous Improvement



Ensure

high-quality performance

across all departments (housekeeping, catering, security, etc.). Develop strategies to improve

efficiency

to meet organizational goals. Optimize task delegation, employee scheduling, and ensure that output aligns with client requirements.

Technology and Equipment Handling



Ensure proper

training

for ground-level employees on the use of new equipment or technology (e.g., cleaning machines, event management tools). Collaborate with operators and staff to assess the

condition of equipment

, address operational issues, and determine if repairs or replacements are needed.

Strategy Development



Continuously develop

strategies

to enhance operational processes and improve performance. Ensure

by focusing on

motivate teams

Building Relationships with Staffing Agencies



Build and maintain relationships

with staffing agencies to source workers for roles requiring general labor or lower-skill positions (e.g., housekeeping, security, maintenance). Collaborate with agencies to secure

temporary, permanent, or contract staff

based on operational needs. Maintain a

network

in security and housekeeping sectors to ensure seamless execution of operations.
6.

Tracking Resource Allocation and Utilization



Track resource allocation

to monitor how many staff members are assigned to each task or department. Keep records of the

condition

and

utilization of assets, machinery, and equipment

. Monitor

material usage

, such as cleaning supplies, food supplies, and other operational materials.
7.

Problem-Solving Skills



Act as a

point of escalation

for operational issues and ensure they are resolved efficiently. Prepare for

emergencies

and operational disruptions by having contingency plans in place. Maintain an

to handle turnover and ensure continuous operations.

QualificationsEducational Requirements



Bachelor's Degree

in Business Administration, Facility Management, Operations Management, or a related field (preferred).

Master's Degree

in Facility or Operations Management (optional for higher-level strategic roles).

Work Experience



Required:

5 to 8 years of relevant experience, ideally with exposure to companies such as: IBM Sodexo IIM Krystal Crystal Facility Kaarya Facilities CLR Facility Services
