We are seeking a highly organized and proactive Secretary cum Personal Assistant (PA) to support a dynamic Managing Partner involved in multiple business ventures. This role demands someone who can provide seamless assistance in a fast-paced environment, manage schedules efficiently, and is willing to travel extensively with the Managing Partner, similar to the support often provided to politicians. Key Responsibilities:
• Administrative Support:
• Manage and coordinate the Managing Partner's schedule, appointments, and meetings.
• Handle correspondence, including emails, letters, and phone calls, on behalf of the Managing Partner.
• Prepare documents, presentations, and reports as required.
• Maintain confidential and sensitive information with discretion.
• Travel Coordination:
• Arrange all travel logistics, including booking flights, accommodations, and ground transportation.
• Prepare detailed itineraries for both domestic and international trips.
• Ensure travel arrangements are flexible and can adapt to changes in the schedule.
• Event and Meeting Management:
• Organize and coordinate business meetings, conferences, and events.
• Ensure the Managing Partner is well-prepared for meetings with relevant documents and background information.
• Attend meetings as required, take notes, and follow up on action items.
• Personal Assistance:
• Accompany the Managing Partner during business trips, meetings, and other engagements.
• Manage personal tasks, including reservations, appointments, and errands.
• Act as a gatekeeper, screening calls and visitors, and prioritizing tasks as necessary.
• Communication and Liaison:
• Act as the main point of contact between the Managing Partner and internal/external stakeholders.
• Communicate effectively on behalf of the Managing Partner, ensuring clear and prompt information flow.
• Develop and maintain strong relationships with business associates, clients, and partners.
Requirements:
• Proven experience as a Secretary, Personal Assistant, or similar role, ideally supporting a high-level executive or politician.
• Excellent organizational and time-management skills with the ability to prioritize tasks.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling software.
• Ability to handle sensitive information with a high degree of confidentiality.
• Flexibility to travel extensively and work beyond standard office hours when required.
• Professional demeanor with exceptional interpersonal skills.
• Ability to adapt to a dynamic environment with changing priorities.
Preferred Qualifications:
• Bachelor's degree in Business Administration, Management, or a related field.
• Experience working in a fast-paced, high-pressure environment.
• Prior experience in managing schedules for individuals with multiple ventures.
