Job Description

Summary:

The Secretary to the CMD provides high-level administrative support to the Chairman and Managing Director. This role involves managing schedules, coordinating meetings, handling communications, and performing various tasks to ensure the efficient operation of the CMD's office.

Key Responsibilities:

Administrative Support:

Manage the CMD's calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle confidential and sensitive information with discretion.

Meeting Coordination:

Organize and coordinate meetings, including preparing agendas, briefing materials, and meeting minutes.
Follow up on action items from meetings and ensure timely completion.
Arrange board meetings and executive team meetings.

Communication:

Act as the first point of contact for the CMD, screening and directing phone calls, emails, and visitors.
Draft and respond to routine correspondence on behalf of the CMD.
Liaise with internal and external stakeholders, including board members, executives, clients, and partners.

Travel Arrangements:

Arrange travel itineraries, including flights, accommodations, and ground transportation.
Prepare travel expense reports and ensure timely reimbursement.

Documentation and Filing:

Maintain an organized filing system for electronic and paper documents.
Ensure all documents are easily accessible and kept up to date.
Manage records and documents related to board meetings, corporate governance, and compliance.

Event Planning:

Assist in planning and organizing company events, conferences, and social functions.
Coordinate logistics, including venue selection, catering, and guest accommodations.

Project Management:

Assist with special projects and initiatives as directed by the CMD.
Conduct research and compile data for reports and presentations.
Monitor and report on the progress of projects and initiatives.

Office Management:

Ensure the CMD's office is well-maintained and stocked with necessary supplies.
Coordinate with other departments to facilitate office operations.
Handle any additional administrative tasks as needed.

Qualifications:

Bachelor's degree in Business Administration, Secretarial Studies, or related field.
Proven experience as an executive secretary or administrative assistant, preferably in a corporate environment.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to multitask and prioritize tasks effectively.
High level of professionalism and confidentiality.

Pay: ?30,000.00 - ?35,000.00 per month
