Job Summary
The Secretary to the Managing Director (MD) provides high-level administrative support by handling information requests, performing clerical functions, and assisting in the daily operations of the executive office. This role requires excellent communication, organizational, and multitasking skills to manage the MD's schedule, coordinate meetings, and ensure smooth executive office operations.
Key Responsibilities :
• Provide comprehensive administrative support to the MD.
• Manage and maintain the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare reports, memos, and other documents on behalf of the MD.
• Handle incoming calls, emails, and correspondence, ensuring timely responses.
• Organize and prioritize tasks to ensure the MD is well-prepared for meetings and engagements.
• Organize and coordinate internal and external meetings, including preparing agendas, documents, and presentations.
• Record and distribute minutes of meetings as needed, following up on actions from the meetings.
• Organize and coordinate domestic and international travel itineraries, including flights, accommodations, and other logistics.
• Prepare travel expense reports and manage reimbursements.
• Maintain an organized filing system for paper and electronic documents.
• Ensure confidentiality of sensitive information and documents related to company operations.
• Serve as a key point of contact between the MD and other internal and external stakeholders.
• Handle confidential information with discretion, professionalism, and integrity.
• Assist the MD with special projects, research tasks, and preparing presentations as needed.
• Coordinate corporate events, workshops, or board meetings when required.
Qualifications :
• Education :
• Bachelor's degree in Business Administration, Management, or a related field preferred.
• Experience :
• Minimum of 1years of experience as an ADMIN/RECEPTIONIST/FRONT OFFICER or secretary in a corporate setting.
• Experience supporting C-level executives is preferred.
• Skills
• Strong organizational skills
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant office tools.
• Ability to handle confidential information with discretion.
• Ability to work independently and under pressure in a fast-paced environment.
