Along with having international experience across 3 continents, Toolbox is firmly rooted with its extensive home experience that places us uniquely to deliver international as well as domestic projects with equal professionalism.We seek a dynamic, experienced Assistant Manager/Team Lead to oversee administration for both divisions, ensuring smooth operations and innovative strategies.Job Title : Assistant Manager/ Team LeadKey Responsibilities:

  • Budget Management:
Oversee the preparation and management of the office budget, ensuring expenses are within allocated limits, and all financial processes follow company guidelines.
  • Office Administration:
Ensure smooth day-to-day office operations by managing office supplies, coordinating repairs, and maintaining the workplace environment. Oversee housekeeping, safety measures, and asset management.
  • Vendor Management:
Handle contracts, agreements, and relationships with external service providers (housekeeping, security, IT support, etc.). Ensure timely and cost-effective procurement of office supplies and services.
  • Compliance and Licensing:
Ensure that all office-related agreements, licenses, and regulatory documents are up-to-date and in compliance with legal standards.
  • Travel and Logistics Coordination:
Manage all travel-related arrangements for employees, including booking transportation, and accommodations, and handling airport transfers. Ensure travel policies are followed, and approvals are obtained.
  • Payment Processing:
Ensure timely processing of office-related payments, including utility bills (power, water, Wi- Fi), courier services, and cleaning services. Maintain accurate financial records and petty cash accounts.
  • Facility Management:
Oversee the maintenance of office infrastructure, ensuring cleanliness, order, and security. Coordinate with maintenance teams for repairs, upgrades, and regular inspections of the premises.
  • Record Keeping:
Maintain systematic filing and organization of business records, legal documents, and office inventories for easy access and retrieval.
  • Team Collaboration:
Foster a cooperative and efficient work environment by coordinating with HR, finance, and other internal teams for seamless operations.
  • Event Coordination:
Organize and manage in-office events, meetings, and employee activities, ensuring all logistical arrangements are handled smoothly.
  • Confidential Information Handling:
Safeguard sensitive and confidential information, maintaining professionalism and discretion in administrative dealings.
  • Process with Procedures:
Develop and implement office management procedures that streamline operations, improve efficiency, and comply with internal and external regulations.
  • Reporting and Feedback:
Provide regular reports on office operations, budget updates, and administrative activities to senior management, offering suggestions for process improvements where necessary.Minimum Requirements:
  • A graduate degree in any discipline is required.
  • Proven experience (3-5 years) in administrative management, preferably within media or
  • educational organizations.
  • Strong communication skills, both verbal and written, in English.
  • Strong Hold on MS excel, MS word
  • Exceptional coordination and multitasking abilities.
  • Experience in team management, work delegation, and meeting tight deadlines.
  • Familiarity with housekeeping, agreements, and licensing procedures.
  • Hands-on experience with managing office operations, including vendor coordination and
  • asset management.
Location : Baner, PuneExperience - 3-5 years minimum
