Position Overview:
The School Receptionist serves as the first point of contact for visitors, students, and staff. This role requires exceptional customer service skills, professionalism, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
• Front Desk Operations:
• Greet and assist visitors, parents, students, and staff in a friendly and professional manner.
• Manage incoming phone calls, emails, and inquiries; route them to the appropriate personnel or department.
• Administrative Support:
• Maintain attendance records, including student late arrivals and early departures.
• Schedule appointments and meetings for staff and administration as needed.
• Assist with maintaining school calendars and distributing announcements.
• Recordkeeping:
• Manage and update student and staff records in the school's database.
• Maintain accurate visitor logs and ensure compliance with school security protocols.
• Communication:
• Relay messages to staff, parents, and students effectively and promptly.
• Disseminate important information via newsletters, bulletins, or notices.
• General Office Duties:
• Order and maintain office supplies.
• Organize and file documents as required.
• Support school events, meetings, and functions as needed.
Qualifications:
• High school diploma or equivalent; additional administrative training is a plus.
• Proven experience in a receptionist, customer service, or administrative role (preferably in an educational setting).
• Proficiency in Microsoft Office Suite and familiarity with school management software.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Professional demeanor and appearance.
Preferred Attributes:
• Experience working in a school or educational environment.
• Knowledge of basic first aid procedures.
• Bilingual proficiency is an asset.
Work Environment:
• Office setting within a school building.
• May occasionally require standing for extended periods or lifting light office supplies.
