Administrative Support: Provide general administrative support to ensure efficient operation of the office, including answering phones, responding to emails, and managing correspondence.
Calendar Management: Coordinate schedules, meetings, and appointments for executives and staff members. Maintain and update calendars, schedule conference rooms, and send meeting reminders.
Document Management: Create, format, edit, and proofread documents, reports, presentations, and correspondence. Maintain electronic and hard copy filing systems and ensure documents are organized and accessible.
Data Entry and Database Management: Enter and update data in spreadsheets, databases, and other software systems accurately and in a timely manner. Generate reports and assist with data analysis as needed.
Customer Service: Greet visitors, answer inquiries, and provide information about the organization or direct them to the appropriate person or department. Assist with customer service requests and follow up on inquiries or issues.
Office Supplies and Inventory: Monitor inventory levels of office supplies and place orders as needed. Maintain organized and tidy office spaces, including supply closets and common areas.
Travel Arrangements: Coordinate travel arrangements for staff members, including booking flights, hotels, rental cars, and other accommodations. Prepare travel itineraries and ensure all travel-related documents are in order.
Meeting Support: Assist with meeting logistics, including room setup, audiovisual equipment setup, catering arrangements, and preparation of meeting materials.
Special Projects: Assist with special projects and initiatives as assigned by management. Research, compile data, and prepare reports or presentations as needed.
Confidentiality: Maintain confidentiality of sensitive information and adhere to company policies and procedures regarding data protection and confidentiality.
Qualifications:
High school diploma or equivalent (Associate\'s or Bachelor\'s degree preferred)
Proven experience as an administrative assistant or in a similar role
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications
Excellent communication and interpersonal skills
Strong organizational and time-management skills
