Job Overview :
The Sales Coordinator is responsible for providing administrative and operational support to the sales team. This role involves managing customer inquiries, processing orders, coordinating sales-related activities, and ensuring that the sales team has the tools and resources needed to meet their goals. The Sales Coordinator acts as a liaison between the sales team, customers, and other departments to ensure smooth and efficient operations.
Key Responsibilities :
• Sales Support :
• Assist the sales team in managing schedules, preparing sales reports, and tracking sales performance.
• Handle customer inquiries, providing information about products, services, and pricing.
• Process and follow up on sales orders, ensuring accurate and timely delivery.
• Support the sales team in preparing presentations, proposals, and quotations for clients.
• Order Management :
• Coordinate with internal teams (such as logistics, production, and finance) to ensure that orders are processed and delivered on time.
• Monitor inventory levels and liaise with the warehouse or supply chain department to prevent stock shortages.
• Handle any issues related to order fulfillment, including changes, delays, or cancellations.
• Customer Relationship Management :
• Maintain and update the customer database (CRM), ensuring accurate customer contact details, records of interactions, and follow-up activities.
• Build and maintain positive relationships with customers, responding promptly to their inquiries and concerns.
• Follow up with clients after sales to ensure satisfaction and foster long-term relationships.
• Sales Administration :
• Prepare sales-related documents, including contracts, agreements, and invoices.
• Maintain and organize sales records, ensuring accurate documentation and filing for easy retrieval.
• Provide regular sales data and metrics to the sales manager for analysis and reporting.
• Coordination & Communication :
• Act as a point of contact between the sales team and other departments, facilitating communication to ensure smooth operations.
• Schedule and organize sales meetings, conference calls, and product demonstrations.
• Coordinate travel arrangements, expense reports, and other administrative tasks for the sales team as needed.
• Sales Reporting & Analysis :
• Generate reports on sales performance, customer feedback, and market trends.
• Track and monitor key performance indicators (KPIs) such as sales targets, revenue, and conversion rates.
• Assist the sales manager in analyzing data to identify areas for improvement and growth opportunities.
• Market Research :
• Conduct research on competitors, market trends, and potential customers.
• Support the sales team by identifying new leads or business opportunities through research and outreach efforts.
• Sales Tools & Resources :
• Ensure the sales team has access to necessary sales materials, including brochures, presentations, product samples, and pricing lists.
• Help implement and manage sales tools, such as CRM software, to streamline the sales process.
Qualifications :
• Education : Bachelor's degree in business, marketing, or a related field (preferred).
• Experience :
• Previous experience in a sales support or administrative role is preferred.
• Skills :
• Excellent communication and interpersonal skills, both written and verbal.
• Strong organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Attention to detail and ability to work in a fast-paced environment.
• Ability to collaborate effectively with a team and across departments.
