TO ASSIST THE CONFERENCE TEAM :
1. Make blocks at respective hotels.
2. Make quotes and send them out to respective clients on their behalf.
3. To call and check on status of tentative blocks with clients.
4. Take calls in their absence.
5. Seeks ways to maximize revenues and profits including up selling other facilities and services.
TO RECEIVE AND TRACK INQUIRIES THAT COME IN THROUGH THE WEB SITE
1. Forward the leads to concerned hotel / executive for further action.
2. Follow up weekly on the status of the same.
3. Maintain a database of all the inquiries and update them on a regular basis.
4. Segregate and sort them according to leads received, confirmed, pipeline, lost etc. and monitor the same.
5. To monitor Revenue Generated.
TO ASSIST THE HEAD OF THE TEAM:
1. Send emails to concerned hotels / executives for various information like their Conference Calendars to tap daily business.
2.Works as a one-point contact and consultant to guest from the first call till the day of the event contracting bookings and raising invoices. Communicate with the clients by phone and email to respond to queries and requests (about property facilities/services, operational hours rates, packages, promotions, entertainment, F&B outlets, wellness etc.)
3. Responsible for coordinating internally with the sales & marketing team.
4. Generating reports, preparing proposals, collection details coordinating with clients & suppliers.
5. Prepare sales-related documents throughout the sales process.
6. Gather materials and assemble information packages (e.g., brochures, promotional materials, sales demo kit, welcome kit, souvenir etc.).
7. Generate group and/or corporate leads through internet prospecting, networking, and telemarketing.
8. Manage and maintain sales executives and managers schedules, appointments and travel arrangements.
9. Assist sales team by managing schedules, filing important documents and communicating relevant information.
10. Arrange and co-ordinate meetings, events and any appointments.
11. Record, transcribe and distribute minutes of meetings.
12. Interaction with client in regards to leads, hotel needs and client travel.
13. Meets with clients in the absence of the Director of Sales or Sales Managers to effectively and professionally convey details of the sale to the client.
14. Perform hotel site tours with potential clients.
15. Monitor, screen, respond to and distribute incoming communications.
16. Design, upload, extract and maintain customer databases.
17. Create and manage Company and Travel Agent profiles on the property management system.
18. Should know the process of merging profiles.
19. Load and Manage Rate Codes to the Hotel Software, And link the negotiated rates to the correct company profiles.
20. Print Daily Sales reports for each sales Managers and submit to Director of
Sales. CGM Sales.
21. File and retrieve documents and reference materials.
22. Conduct research and collect data to prepare reports and documents.
23. Utilizes efficient sales strategy for the maximization of hotel revenue.
24. Coordinates necessary arrangements with vendors relating to sales.
27. Establishes strong relationships with vendors to ensure maximization of hotel revenue.
28. Ensure the adequacy of sales-related equipment or material are available at all times.
29. Assist in providing exceptional service to clients, addressing inquiries, and supporting guest requests related to sales activities
30.Participates in the departmental and individual training needs, develops training calendars, conducts training and recommends suitable training programs to address individual capability gaps. Participate in certification of team members in key skills. Ensures self and directly reporting managers attend appropriate core training classes.
32.Support in organizing sales events, trade shows, and other promotional activities, ensuring smooth execution and follow-up.
33. Other duties as assigned by Director of sales, CGM Sales or the management.
