Our client is a Destination Management Company (DMC) specializing in New Zealand as a destination. Backed by a leading hospitality group with over 40 years of experience in the Oceania region, the DMC offers a wide array of premium travel experiences, accommodations, and logistics solutions across New Zealand.

Role Overview
The Backend Reservations Executive will oversee all post-sales operations, ensuring confirmed itineraries are smoothly translated into booked hotels, activities, and transportation services. This role involves meticulous tracking of payment deadlines, coordination with local suppliers, and proactive management of potential booking risks to deliver a seamless travel experience.

Key Responsibilities

• BOOKINGS MANAGEMENT
• Secure reservations for hotels, activities, and transportation as outlined in the finalized itineraries.
• Ensure all bookings are accurate and meet the client's specific requests.
• Keep detailed records of booking confirmations, including terms of payment and deadlines.
• Payment Tracking and Deadline Management
• Monitor payment deadlines for each booking, including hotels, activity providers, and transport suppliers.
• Coordinate with the finance team to ensure timely payments to avoid cancellations.
• Proactively communicate with suppliers to confirm payment receipt and maintain booking validity.
• Escalate issues related to payment delays or disputes to avoid jeopardizing the travel itinerary.
• Coordination with Suppliers
• Liaise directly with New Zealand-based suppliers to confirm and manage bookings.
• Use supplier portals and communication tools to ensure accurate booking adjustments, cancellations, or modifications.
• Build and maintain strong working relationships with local suppliers.
• Post-Booking Support
• Handle amendments to itineraries, including modifications, cancellations, and refund processing.
• Provide updates to clients or internal teams about changes to bookings or travel arrangements.
• Process and Documentation Management
• Maintain detailed and organized records of all reservations, including terms, conditions, and deadlines.
• Ensure that supplier agreements and policies are consistently followed.
• Prepare periodic reports on booking statuses, payment deadlines, and issue resolutions.
• Risk Management
• Identify potential risks to bookings, such as missed deadlines or supplier issues, and take proactive steps to mitigate them.
• Communicate potential disruptions to the internal team and propose alternative solutions.
• Customer-Focused Execution
• Act as a point of contact for all reservation-related queries and provide clear, timely updates to stakeholders.

Preferred Qualifications and Experience

• Graduate degree, preferably in Tourism, Hospitality, or Business Administration.
• 3+ years of experience in backend reservations, preferably in New Zealand DMC operations or outbound tourism to Oceania.
• Strong understanding of New Zealand's travel landscape, including key attractions, travel seasons, and logistics.

Skills Required

• Attention to Detail : Ability to track multiple bookings and payment deadlines accurately.
• Time Management : Strong organizational skills to prioritize and meet critical deadlines.
• Communication : Excellent verbal and written communication to liaise effectively with suppliers and clients.
• Problem-Solving : Capacity to anticipate booking issues and provide practical solutions.
• Technical Proficiency : Familiarity with supplier booking systems, reservation portals, and Microsoft Office Suite.

Job Types: Full-time, Permanent

Pay: ?420,000.00 - ?480,000.00 per year
