We are looking for a dedicated and organized Receptionist cum Office Administrator to manage the front desk, coordinate with various departments, and ensure smooth office operations. This role requires a professional individual with excellent communication and multitasking skills, capable of handling a variety of tasks with a focus on customer service and administrative support.
Key Responsibilities:
• Reception and Visitor Management:
• Greet and welcome visitors with a professional and friendly demeanor.
• Coordinate with the Accounts, Purchase, and other relevant teams to direct visitors accordingly.
• Inform company personnel of visitor arrivals and handle their inquiries or refer them to the appropriate person.
• Serve refreshments like water, tea, or coffee to visitors and guests as needed.
• Communication Management:
• Manage multi-line telephones, handling inbound and outbound calls efficiently.
• Maintain the telecommunication system, ensuring smooth operation and timely connection to concerned individuals.
• Coordinate with customers and manage all communication with professionalism.
• Administrative Tasks:
• Handle courier and postal services, ensuring timely collection and distribution to the appropriate departments.
• Oversee stock management for stationery and housekeeping materials, including regular maintenance of inventory in the system.
• Office and Reception Area Maintenance:
• Keep a safe, clean, and organized reception area by adhering to office procedures and regulations.
• Switch on and manage the music system in the reception area according to guidelines.
• Decorate the office during festivals and maintain decorations and nursery plants.
• General Office Support:
• Assist in HR department tasks and any management-assigned duties.
• Contribute to team efforts by accomplishing related tasks as required.
