Job Title: Receptionist / Guest Relations Executive

Job Summary:
The Receptionist/Guest Relations Executive is responsible for ensuring guests receive a warm welcome, excellent service, and an outstanding dining experience, whether dining in or ordering takeaway. This role involves managing front desk operations, attending to guests' needs, processing takeaway orders, and handling reservations. The ideal candidate will have a guest-first attitude and a passion for providing exceptional customer service.
Key Responsibilities:
Front Desk Operations:
Greet and welcome guests as they arrive, providing a friendly and professional first impression.
Manage guest inquiries regarding seating, menu options, and restaurant services.
Answer phone calls and respond to emails, directing inquiries to the appropriate team.
Ensure the reception area and waiting areas are neat and presentable at all times.
Guest Relations:
Assist guests with inquiries, requests, and any issues during their visit, ensuring satisfaction.
Provide information on the restaurant menu, specials, and promotions.
Coordinate with the restaurant team to ensure a seamless dining experience for guests.
Handle special requests such as arranging table reservations for events or celebrations.
Takeaway Order Processing:
Handle phone, online, and in-person takeaway orders with accuracy and attention to detail.
Confirm order details, process payments, and ensure that the kitchen receives orders promptly.
Coordinate with the kitchen and waitstaff to ensure takeaway orders are prepared and packaged correctly and on time.
Manage any modifications or special instructions for takeaway orders.
Reservations & Booking:
Manage table reservations, ensuring accurate booking details and guest preferences are recorded.
Confirm reservations, payments, and any special requirements ahead of time.
Coordinate with the kitchen and front-of-house staff to meet guest needs during busy periods.
Complaint Resolution:
Listen to and address guest complaints, providing solutions in a timely and professional manner.
Escalate unresolved issues to the manager if necessary.
Administrative Support:
Maintain accurate guest records and update systems with relevant information.
Perform basic clerical tasks such as filing, answering emails, and managing restaurant supplies.
Assist in coordinating internal meetings and events as required.
Security & Safety:
Monitor guest access to ensure only authorized individuals enter restricted areas.
Report any safety or security concerns to the appropriate personnel.
Key Skills & Qualifications:
Education: High school diploma or equivalent. A degree in hospitality management or related field is a plus.
Experience: Minimum of 1-2 years in a guest relations or front desk role, preferably in a restaurant or hospitality environment.
Skills:
Excellent communication and interpersonal skills with a strong customer service orientation.
Proficiency in using point-of-sale (POS) systems and reservation software.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Ability to work well in a fast-paced environment and handle peak periods efficiently.
Languages: Fluency in English is essential. Proficiency in additional languages is a plus.
