Role Summary:
We are looking for a professional and friendly Receptionist/Admin to manage our front desk, handle daily administrative tasks, and ensure smooth office operations. The ideal candidate will be the first point of contact for visitors and clients, making a lasting positive impression while providing efficient administrative support to the team.
Key Responsibilities:
• Reception Duties:
• Greet visitors, clients, and staff with a warm and professional demeanor.
• Answer, screen, and route phone calls to the appropriate department.
• Manage the reception area to ensure it is clean, organized, and welcoming.
• Administrative Support:
• Maintain and update office records, files, and databases.
• Assist in scheduling meetings, appointments, and conference rooms.
• Handle correspondence, emails, and package deliveries.
• Prepare reports, memos, and other documents as required.
• Office Management:
• Monitor and order office supplies to maintain inventory levels.
• Coordinate with service providers for office maintenance and repairs.
• Manage incoming and outgoing mail.
• Customer Relations:
• Address inquiries from clients and visitors promptly and professionally.
• Act as a point of contact for internal and external communications.
• Other Duties:
• Support other departments with administrative tasks as needed.
• Assist with event planning or special projects when required.
Qualifications & Skills:
• Education: High school diploma or equivalent (Bachelor's degree is a plus).
• Experience: Proven experience in a receptionist or administrative role.
• Skills:
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
• Familiarity with office equipment like printers, scanners, and telephone systems.
• Ability to maintain confidentiality and professionalism at all times.
