The Receptionist/Administrator is a dual-role position responsible for managing the front desk while providing administrative support to ensure the smooth operation of the office. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to handling tasks efficiently.

Key Responsibilities:Reception Duties:

• Front Desk Management:
• Greet and welcome visitors, clients, and staff in a friendly and professional manner.
• Answer, screen, and forward incoming phone calls to the appropriate departments.
• Maintain the reception area to ensure it is tidy, organized, and presentable at all times.
• Visitor Coordination:
• Register visitors, issue visitor badges, and ensure adherence to security protocols.
• Provide visitors with information or directions as needed.
• Liaise with internal teams to ensure a smooth visitor experience.
• Customer Service:
• Respond to inquiries via phone, email, or in-person promptly and professionally.
• Resolve minor issues or direct them to the appropriate person or department.

Administrative Duties:

• Office Administration:
• Manage incoming and outgoing mail, courier services, and deliveries.
• Maintain office supplies inventory and place orders as needed.
• Support scheduling and coordination of meetings, including booking meeting rooms and preparing agendas.
• Documentation and Record-Keeping:
• Maintain accurate records, files, and databases.
• Assist in preparing reports, correspondence, and presentations.
• Handle data entry tasks and ensure the accuracy of information.
• General Support:
• Provide administrative support to various departments as needed.
• Assist in organizing company events, meetings, and travel arrangements.
• Ensure compliance with company policies and procedures in daily operations.

Qualifications and Skills:

• Education: High school diploma or equivalent; a degree or certification in office administration is an advantage.
• Experience:
• 2+ years in a receptionist, administrative, or similar role preferred.
• Skills:
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
• Friendly and professional demeanor with a customer-focused attitude.
• Ability to handle confidential information with discretion.

Job Type: Full-time

Pay: ?10,000.00 - ?15,000.00 per month

Schedule:

• Day shift

Supplemental Pay:

• Yearly bonus

• Microsoft Office: 2 years (Preferred)
• Front desk - Receptionist: 1 year (Preferred)
