Job Role: Receptionist Job Summary: The receptionist serves as the first point of contact for visitors, clients, and employees at the company\'s front desk. This role involves managing incoming calls, greeting and assisting guests, and providing administrative support to various departments. The receptionist plays a crucial role in creating a positive and professional image of the organization. Responsibilities:
  • \xc2\xb7 Greeting and Welcoming Visitors: Welcome all visitors and guests with a warm and friendly demeanor. Provide them with necessary information, such as directions or instructions, and ensure they sign in or follow security protocols.
  • \xc2\xb7 Answering and Directing Calls: Handle incoming phone calls promptly and professionally. Direct calls to the appropriate personnel or department, taking accurate messages when necessary. Keeping records of all the customers inquiries received on call and directing these inquiries to the appropriate department for further taking up and answering.
  • \xc2\xb7 Managing Mail and Packages: Receive, sort, and distribute incoming mail and packages to the appropriate recipients. Prepare outgoing mail and packages as needed.
  • \xc2\xb7 Maintaining Reception Area: Ensure the reception area is clean, organized, and presentable at all times. Keep reading materials, brochures, or promotional materials available for visitors.
  • \xc2\xb7 Scheduling and Managing Appointments: Coordinate and manage appointment schedules for meetings, interviews, or other events as required. Notify relevant parties about any changes or cancellations. Giving Secretarial support to Management from time to time and arranging travel and meetings with clients/customers etc.
  • \xc2\xb7 Assisting with Administrative Tasks: Provide administrative support to various departments by handling data entry, filing, and other clerical tasks. Assist with preparing documents, reports, and presentations as needed. Making Reports and Data Entry in Google Sheets on daily basis as per the instructions of the management.
  • \xc2\xb7 Handling Inquiries: Respond to inquiries from clients, visitors, and employees professionally and courteously. Provide accurate information or direct inquiries to the appropriate individuals.
  • \xc2\xb7 Maintaining Security Measures: Monitor access to the premises and follow security procedures diligently. Report any suspicious activities or security breaches to the appropriate personnel. Keep personal Mobile phones of the staff entering the premises and returning while exiting.
  • \xc2\xb7 Managing Office Supplies: Monitor and maintain office supplies inventory. Place orders for supplies as required, ensuring that necessary items are always available.
  • \xc2\xb7 Assisting with Special Projects: Provide support for special projects and events, such as company gatherings, workshops, or conferences.
  • \xc2\xb7 Collaborating with Team Members: Communicate effectively with colleagues and maintain a positive working relationship with all employees.
  • \xc2\xb7 Adhering to Company Policies: Follow company policies and procedures, ensuring confidentiality, data protection, and compliance with guidelines.
Requirements:
  • \xc2\xb7 Graduate BA, BSC or B Com or equivalent.
  • \xc2\xb7 Proven experience as a receptionist or in a similar administrative role is a plus.
  • \xc2\xb7 Excellent verbal and written communication skills.
  • \xc2\xb7 Strong organizational and multitasking abilities.
  • \xc2\xb7 Proficient in using office equipment (e.g., phone systems, printers, etc.) and computer software (e.g., Microsoft Office & Excel).
  • \xc2\xb7 Friendly, courteous, and professional demeanour.
  • \xc2\xb7 Ability to handle stressful situations calmly and efficiently.
  • \xc2\xb7 Strong attention to detail and accuracy.
  • \xc2\xb7 Ability to work independently and as part of a team.
  • \xc2\xb7 Flexibility to work occasional evenings or weekends if required.
