Key Responsibilities:Front Desk Operations:
• Welcome and direct visitors, clients, and employees in a courteous and professional manner.
• Answer and manage incoming calls, redirecting them as necessary or taking detailed messages.
• Ensure the reception area is clean, organized, and well-maintained.
Administrative Support:
• Manage calendars, appointments, and meeting room bookings.
• Handle incoming and outgoing mail, deliveries, and courier services.
• Assist with basic administrative tasks such as data entry, filing, and photocopying.
Communication and Coordination:
• Act as a liaison between departments to facilitate communication.
• Provide accurate information to visitors and staff regarding organizational policies and procedures.
Safety and Security:
• Monitor visitor logbooks and issue visitor passes.
• Ensure compliance with security protocols by verifying identities or granting appropriate access.
• Skills and Qualifications:
• Education: High school diploma or equivalent; additional training in office management or customer service is a plus.
• Experience: Previous experience in a receptionist, front desk, or customer service role preferred.
• Skills:
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficient in MS Office (Word, Excel, Outlook) and other relevant software.
• Friendly demeanor with a focus on customer service.
• Ability to remain calm under pressure and handle challenging situations.
