Position Title : Receptionist
Position Overview:
The receptionist is the first point of contact for visitors, clients, and employees. This role requires a professional, friendly, and organized individual who will manage the front desk, answer phone calls, and provide administrative support to ensure the office runs smoothly.
Key Responsibilities:
• Greeting Visitors : Welcome visitors and clients in a friendly and professional manner; direct them to the appropriate personnel or departments.
• Phone Management : Answer incoming calls, direct them to the appropriate team members, take messages, and respond to general inquiries.
• Managing Appointments : Schedule and confirm appointments, meetings, and conference room bookings. Keep the calendar up to date.
• Administrative Support : Assist with administrative duties such as filing, data entry, and document preparation. Help with the organization of office supplies and maintaining office cleanliness.
• Mail & Deliveries : Receive and sort incoming mail and packages, and ensure outgoing mail is properly prepared and sent.
• Office Communication : Maintain clear and professional communication between departments and with external clients, visitors, and vendors.
• Front Desk Maintenance : Ensure the front desk area is tidy and well-organized. Maintain office decorum and provide general office maintenance support as needed.
• Security Management : Ensure building security procedures are followed, including visitor logs, access control, and building sign-ins.
• Handling Inquiries : Provide information about company services, policies, and general office matters to clients and visitors.
Qualifications:
• Education : High school diploma or equivalent required; additional administrative certifications or relevant coursework is a plus.
• Experience : Previous experience in a receptionist, administrative, or customer service role is preferred.
• Skills :
• Excellent verbal and written communication skills
• Strong organizational and multitasking abilities
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software
• Professional demeanor with a positive, customer-focused attitude
• Ability to maintain confidentiality and handle sensitive information
• Strong attention to detail and ability to prioritize tasks
• Personality : Friendly, approachable, and customer-oriented with a polished appearance.

Pay: ?10,000.00 - ?12,000.00 per month
