Job Summary:
We are seeking a friendly and professional Receptionist to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing a warm welcome and efficient administrative support. This role requires strong communication skills, a positive attitude, and the ability to handle multiple tasks simultaneously.
Key Responsibilities:
• Greeting Visitors: Welcome guests and clients with a positive attitude and assist them as needed.
• Answering Phones: Manage and direct incoming calls, take messages, and relay information to the appropriate personnel.
• Managing Appointments: Schedule and coordinate meetings, appointments, and events; ensure meeting rooms are prepared.
• Handling Correspondence: Receive, sort, and distribute incoming mail and packages; prepare and send outgoing mail.
• Administrative Support: Perform various clerical duties such as data entry, filing, and maintaining office supplies inventory.
• Maintaining Records: Update and manage contact lists, visitor logs, and other relevant records.
• Assisting with Office Tasks: Provide support to other departments as needed, including administrative assistance and basic office maintenance.
• Ensuring Office Security: Monitor and manage office security, including access control and visitor sign-in procedures.
