Position Overview:
As a Front Desk Receptionist/Administrative Assistant, you will play a crucial role in maintaining a positive and welcoming atmosphere in our office. You will be responsible for managing various administrative tasks, ensuring efficient communication both internally and externally, and providing exceptional customer service to our clients. This position requires a proactive approach, attention to detail, and the ability to handle multiple responsibilities simultaneously.
Responsibilities:
- Greet clients and visitors in a warm and professional manner, ensuring their needs are met promptly and efficiently.- Manage and route incoming calls, taking accurate messages and transferring calls to the appropriate individuals within the organization.- Respond to client inquiries and resolve grievances in a timely and courteous manner.- Handle incoming and outgoing mail, including sorting, distributing, and processing packages.- Manage office supplies inventory and place orders as needed.- Maintain a clean and organized reception area, conference rooms, and common spaces.- Assist with preparing and formatting documents, reports, and presentations.- Maintain confidentiality of sensitive information and adhere to company policies and procedures.
Requirements:
- High school diploma or equivalent; additional certification or training in office administration is a plus.- Proven experience as a receptionist, administrative assistant, or in a similar role.- Excellent verbal and written communication skills, with a strong command of the English language.- Exceptional interpersonal skills and the ability to work effectively with diverse groups of people.- Proficient in using office equipment (e.g., phone systems, printers, fax machines) and computer applications (e.g., MS Office, email clients).- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.- Attention to detail and a high level of accuracy in all work performed.- Ability to handle sensitive information and maintain confidentiality.- Strong problem-solving skills and the ability to remain calm under pressure.If you are a reliable, customer-focused individual with excellent administrative skills, we would love to hear from you.
