Job Summary :
The Receptionist will be the first point of contact for all visitors and clients at JOY-N-CREW. The role requires managing front desk operations efficiently, ensuring excellent customer service, and providing administrative support to the team. The ideal candidate will have strong communication skills, a friendly personality, and the ability to manage multiple tasks simultaneously.
Key Responsibilities :
• EPBX (Electronic Private Branch Exchange) : Experience in managing multi-line phone systems to answer, transfer, and forward calls efficiently.
• Front Desk Operations : Greet and welcome visitors, clients, and guests in a professional and courteous manner.
• Telephone Management : Answer, screen, and forward incoming calls, ensuring that all inquiries are handled promptly and accurately.
• Visitor Management : Maintain visitor logs and ensure that all guests are directed to the appropriate staff member or department.
• Client Assistance : Provide information to clients regarding services, travel packages, and general queries.
• Appointment Scheduling : Manage appointment bookings for clients and staff, ensuring efficient scheduling and coordination.
• Mail & Correspondence : Handle incoming and outgoing mail, packages, and other communications, distributing them to the appropriate departments.
• Administrative Support : Assist in maintaining office supplies, managing calendars, and supporting the team with clerical tasks as needed.
• Customer Service : Respond to customer inquiries and complaints with professionalism, providing solutions or directing them to the relevant department.
Qualifications :
• High school diploma or equivalent; additional qualifications in Office Administration or related fields are a plus.
• Minimum of 1-2 years of experience in a receptionist or front desk role.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
• Strong organizational and multitasking abilities.
• Friendly, approachable, and professional demeanor.
• Ability to handle stressful situations with calmness and professionalism.
Preferred :
• Experience in the travel or tourism industry.
• Familiarity with office management systems and procedures.
• Ability to manage customer expectations and resolve queries efficiently.
