Aakatva Architects is seeking a professional and friendly Receptionist to join our dynamic team. As the first point of contact for clients and visitors, you will play a vital role in maintaining the smooth operation of the office and ensuring a welcoming atmosphere.
Key Responsibilities:
• Front Desk Management: Greet clients, visitors, and staff, ensuring a positive and professional experience.
• Telephone Handling: Answer and direct incoming calls promptly, and take accurate messages when necessary.
• Appointment Scheduling: Manage the firm's calendar, scheduling client meetings, appointments, and follow-ups.
• Administrative Support: Assist with office tasks such as filing, photocopying, document preparation, and data entry.
• Client Interaction: Provide information to clients regarding appointments, meetings, and general inquiries about the firm's services.
• Correspondence: Manage incoming and outgoing mail, emails, and deliveries.
• Office Supplies: Monitor and order office supplies to ensure the smooth functioning of the office.
• Visitor Management: Ensure visitors are guided to the appropriate staff members or meeting rooms.
Skills & Qualifications:
• Excellent communication and interpersonal skills.
• Proficiency in MS Office (Word, Excel, Outlook) and general computer skills.
• Professional appearance and demeanor.
• Ability to multitask and prioritize tasks efficiently.
• Previous experience in a receptionist or administrative role (preferably in an architecture or design firm) is a plus.
