Position : Receptionist
Department : Front Office / Administration
Reports to : Clinic Manager

Job Summary

The receptionist serves as the first point of contact for patients and visitors at the ENT clinic. This role involves managing appointments, handling financial transactions, and ensuring the smooth operation of front-desk activities. The ideal candidate will provide exceptional customer service, maintain professionalism, and possess basic accounting skills to manage billing and payment processes.

Key Responsibilities

• Front Desk Management :
• Greet patients and visitors warmly and professionally.
• Maintain a clean and organized reception area.
• Appointment Scheduling :
• Schedule, reschedule, and cancel appointments based on patient needs and clinic availability.
• Confirm patient appointments via phone, email, or text.
• Patient Registration and Records Management :
• Assist patients with registration forms and collect necessary information (personal details, medical history, etc.).
• Verify insurance information and ensure proper documentation.
• Update patient records in the clinic's management system.
• Communication and Inquiry Handling :
• Answer incoming calls and emails promptly and professionally.
• Address patient inquiries about clinic services, fees, or ENT procedures.
• Direct complex queries to the appropriate department or medical staff.
• Billing, Payments, and Accounting :
• Process payments for consultations, treatments, and procedures.
• Manage cash transactions, card payments, and online payments securely.
• Maintain accurate financial records, including receipts and daily transaction logs.
• Reconcile cash registers at the end of each day and prepare financial summaries.
• Assist with basic bookkeeping tasks, such as tracking accounts receivable and payable.
• Coordination and Support :
• Coordinate with ENT specialists and other clinic staff to ensure smooth operations.
• Manage the daily schedule and keep patients informed about delays or changes.
• Administrative Tasks :
• Handle mail, courier services, and other administrative tasks as needed.
• Monitor and maintain office supplies inventory.
• Patient Comfort and Assistance :
• Provide assistance to patients with mobility issues or other special needs.
• Ensure a comfortable waiting experience for patients.

Qualifications and Skills

• Education :
• Graduation or equivalent; a degree/certification in healthcare administration, accounting, or a related field is a plus.
• Experience :
• Prior experience as a receptionist in a healthcare setting is preferred.
• Basic accounting or bookkeeping experience is an advantage.
• Technical Skills :
• Proficiency in MS Office (Word, Excel, Outlook).
• Familiarity with clinic management or appointment scheduling software.
• Knowledge of accounting software or tools is a plus (e.g., QuickBooks, Tally).
• Soft Skills :
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Empathy, patience, and a customer-focused approach.
• Attention to detail, particularly in financial transactions and record-keeping.

Working Hours

• Full-time or part-time shifts based on clinic operating hours.
• Flexibility to work on weekends or evenings, if required.

Pay: ?10,000.00 - ?15,000.00 per month
