• Greeting and Welcoming : Welcome patients and visitors to the hospital in a friendly and professional manner.
• Appointment Scheduling : Manage appointment bookings for patients, including new appointments, follow-ups, and cancellations. Coordinate with doctors' schedules to ensure optimal patient flow.
• Patient Registration : Register new patients and update existing patient information in the hospital's electronic health records (EHR) system accurately.
• Insurance Verification : Verify patients' insurance coverage and process necessary documentation. Assist patients with insurance-related inquiries and provide information on billing processes.
• Answering Inquiries : Respond to phone calls, emails, and in-person inquiries promptly and courteously. Provide accurate information regarding services offered, appointment availability, and hospital procedures.
• Medical Records Management : Maintain confidentiality and accuracy when handling patient medical records and other sensitive information. Retrieve and file records as needed.
• Billing and Payments : Process patient payments, issue receipts, and coordinate with the billing department as required. Ensure accuracy in financial transactions and documentation.
• Coordination : Coordinate with other hospital departments, such as nursing and ophthalmology units, to facilitate smooth patient care and administrative processes.
• Office Supplies and Equipment : Monitor and replenish office supplies as needed. Ensure the front desk area is organized and presentable at all times.
• Patient Comfort : Assist in maintaining a comfortable and welcoming environment for patients and their families while they wait for appointments.
• Emergency Response : Follow hospital protocols for emergency situations, including contacting appropriate personnel and providing assistance as directed.
Skills and Qualifications:
• Proven experience as a receptionist or in a similar role, preferably in a healthcare setting.
• Excellent interpersonal and communication skills, both verbal and written.
• Proficiency in using electronic health records (EHR) systems and basic computer applications (MS Office, email, internet).
• Strong organizational skills with the ability to prioritize tasks efficiently.
• Attention to detail and accuracy in data entry and record-keeping.
• Ability to handle sensitive and confidential information with integrity.
• Knowledge of medical terminology and insurance procedures is an advantage.
• Customer service orientation with a professional and pleasant demeanor.
