Receptionist Duties:
1. Front Desk Management :
Greet and assist clients and visitors warmly.
Manage the reception area to ensure a welcoming environment.
2. Communication :
Answer incoming calls and respond to inquiries regarding student visas.
Handle emails and correspondence professionally.
3. Appointment Scheduling :
Schedule consultations and follow-up appointments for clients.
Maintain an organized calendar for the consultancy team.
4. Client Assistance :
Provide information about student visa processes, requirements, and timelines.
Assist clients in completing forms and documentation.
5. Record Keeping :
Maintain accurate records of client interactions and transactions.
Update client databases and manage files effectively.
6. Collaboration :
Work closely with consultants and other staff to ensure smooth operations.
Participate in team meetings and contribute to service improvements.
7. Follow-Up :
Contact clients for follow-up appointments or additional documentation.
Address any concerns or issues raised by clients promptly.
Qualifications:
• Education : Graduate required.
• Language Skills : Proficiency in English (both written and spoken) is essential; knowledge of additional languages is a plus.
• Experience : Previous experience in a receptionist or customer service role is preferred, especially in a consultancy environment.
• Interpersonal Skills : Strong communication skills and a friendly, professional demeanor.
• Organizational Skills : Ability to multitask and manage time effectively.
• Technical Skills : Familiarity with office software (e.g., MS Office, CRM systems) and general office equipment.
Additional Considerations:
• Knowledge of visa regulations and processes may be beneficial.
• A willingness to learn and stay updated on immigration policies.
