The receptionist is responsible for managing the front desk, greeting visitors, handling incoming calls, and performing various administrative tasks to ensure the smooth operation of the office.
Key Responsibilities:
• Greeting and Welcoming:
• Greet and welcome visitors with a positive and professional attitude.
• Direct visitors to the appropriate person or office.
• Offer refreshments and ensure the waiting area is clean and comfortable.
• Telephone and Communication:
• Answer, screen, and forward incoming phone calls.
• Take and relay messages accurately.
• Handle inquiries from clients, customers, and employees.
• Administrative Support:
• Manage the reception area to ensure it is tidy and presentable.
• Receive, sort, and distribute daily mail/deliveries.
• Maintain office security by following safety procedures and controlling access via the reception desk.
• Update calendars and schedule meetings.
• Perform basic bookkeeping, filing, and clerical duties as needed.
• Customer Service:
• Provide general information to visitors and callers about the company and its services.
• Address complaints and resolve basic issues.
• Technology and Office Equipment:
• Operate standard office equipment, such as a multi-line phone system, photocopier, and computer.
• Ensure the reception area's equipment is functional and report any issues to the relevant department.
• Coordination and Logistics:
• Assist with the planning and coordination of office events and meetings.
• Prepare and distribute meeting agendas and minutes.
• Manage appointment schedules and conference room bookings.
Qualifications:
• High school diploma or equivalent; additional education or certification in office administration is a plus.
• Proven work experience as a receptionist, front office representative, or similar role.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Hands-on experience with office equipment (e.g., fax machines and printers).
• Professional attitude and appearance.
• Strong verbal and written communication skills.
• Ability to be resourceful and proactive when issues arise.
• Excellent organizational skills and attention to detail.
• Multitasking and time-management skills, with the ability to prioritize tasks.

Working Conditions:
