Key Responsibilities:
• Front Desk Management: Greet clients and visitors with a warm and welcoming demeanor. Manage incoming calls, emails, and inquiries promptly and professionally.
• Client Assistance: Provide information regarding our immigration services, including visa applications, permanent residency, study visas, and other relevant programs. Assist clients in scheduling appointments and directing them to the appropriate consultants.
• Administrative Support: Perform general administrative tasks such as maintaining office supplies, managing correspondence, and organizing files. Assist in data entry and updating client records accurately.
• Appointment Scheduling: Coordinate appointments and meetings for consultants and clients. Ensure schedules are efficiently managed to optimize consultant availability.
• Documentation Management: Assist clients in completing necessary forms and documentation for visa applications. Ensure all paperwork is completed accurately and in compliance with relevant regulations.
• Office Coordination: Collaborate with other team members to maintain a smooth workflow and ensure efficient office operations. Communicate effectively with consultants and other staff members to facilitate seamless service delivery.
• Customer Relationship Management: Build and maintain positive relationships with clients by providing outstanding service and addressing any concerns or queries promptly. Strive to enhance client satisfaction and loyalty through proactive engagement.
Requirements:
• High school diploma or equivalent qualification.
• Proven experience in a similar role, preferably in the immigration or consultancy industry.
• Exceptional communication and interpersonal skills.
• Proficiency in MS Office applications and basic computer literacy.
• Strong organizational skills and attention to detail.
• Ability to multitask and prioritize tasks effectively in a fast-paced environment.
• Customer-focused mindset with a commitment to delivering excellence in service.
• Fluency in English and proficiency in additional languages is advantageous.
