Job Description

Key Responsibilities:

• Greeting Visitors: Welcome guests and clients in a warm and professional manner. Direct them to the appropriate person or department.
• Answering Calls: Handle incoming calls, screen and direct them accordingly. Provide information, take messages, and transfer calls to the appropriate individuals.
• Managing Correspondence: Sort and distribute incoming mail and packages. Prepare outgoing mail and packages, including courier services when necessary.
• Scheduling: Manage appointment calendars for executives and staff. Schedule meetings, conferences, and appointments as requested.
• Administrative Support: Assist with various administrative tasks, including data entry, filing, photocopying, and maintaining office supplies.
• Maintaining Reception Area: Ensure the reception area is tidy and presentable at all times. Manage the booking of meeting rooms and conference facilities.
• Handling Inquiries: Respond to inquiries from clients, visitors, and employees courteously and promptly. Provide basic information about the organization and its services.
• Security: Monitor and maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).

• Excellent communication skills (verbal and written)

• Strong interpersonal skills
• Ability to multitask and prioritize tasks effectively
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Knowledge of office equipment (fax machines, printers, etc.)
• Attention to detail and accuracy
• Customer service orientation
• Previous experience in a similar role is preferred but not always required

Education Requirements:
A high school diploma or equivalent is typically required for this position. Additional qualifications in office administration, aviation or related fields may be advantageous.

Job Type: Full-time

Pay: ?15,000.00 - ?20,000.00 per month
