Job Description

Job Summary :
The Receptionist is the first point of contact for visitors, parents, students, and staff at K.R Mangalam Global School. This position is responsible for greeting visitors, answering phone calls, directing inquiries to the appropriate departments, and providing general administrative support to ensure the smooth operation of the school office. The Receptionist plays a crucial role in creating a welcoming and organized atmosphere for all who enter the school.

Key Responsibilities :

• Greet and assist visitors, parents, students, and staff with professionalism and courtesy.
• Answer phone calls, emails, and in-person inquiries, providing accurate information or redirecting inquiries to the appropriate staff or department.
• Maintain a friendly, approachable, and helpful presence in the front office
• Perform general clerical duties such as filing, photocopying, faxing, and scanning documents.
• Maintain and update school records, directories, and office files as needed.
• Assist with preparing and organizing materials for meetings, events, and school functions.
• Handle incoming and outgoing mail, packages, and deliveries.
• Maintain a clean and organized front desk area and lobby.
• Assist students with administrative needs, such as delivering messages, taking attendance, or facilitating communication between teachers and parents.
• Ensure students are signed in and out of the school when arriving late or leaving early, following proper procedures.
• Coordinate with school staff to manage student drop-offs and pick-ups.
• Monitor and track visitor sign-in and sign-out procedures, ensuring that all visitors are properly checked in and wear visitor badges while on school premises.
• Ensure the safety and security of the school by adhering to visitor management protocols.
• Maintain effective communication between the office, teachers, parents, and other school personnel.
• Relay messages and important announcements to the appropriate individuals in a timely manner.
• Assist with school-wide communication, such as reminders, updates, and event notifications, as directed by the administrative team.
• Schedule and coordinate appointments, meetings, and conferences for staff, administrators, and parents.
• Manage the school's calendar of events and ensure the front office is prepared for scheduled activities.
• Operate school office equipment, such as phone systems, copiers, fax machines, and other technology used in the daily operation of the office.
• Troubleshoot minor issues with office equipment and contact support services as needed.
• Assist with special school events, functions, or projects as assigned.
• Perform other clerical or administrative tasks as directed by school leadership.

Qualifications :

• High school diploma or equivalent required; additional education or training in office administration preferred.
• 1+ years of experience in an office or preferably in an educational setting.
• Strong communication skills, both verbal and written, with the ability to interact with students, parents, and staff in a professional manner.
• Excellent organizational and multitasking skills, with attention to detail.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Proficient in using office software (e.g., Microsoft Office Suite, Google Workspace) and basic office equipment.
• Ability to work independently and as part of a team.
• Friendly, approachable demeanor with strong customer service skills.
• Knowledge of school policies and procedures or a willingness to learn.

Job Type: Full-time

Pay: ?15,000.00 - ?25,000.00 per month
