Position Overview:
We are seeking a dedicated and empathetic individual to join our team as a Receptionist and Telecaller at our Psychotherapy Center. As the first point of contact for our clients, you will play a crucial role in providing exceptional customer service and support. Your responsibilities will include managing front desk operations, handling incoming calls, scheduling appointments, and assisting with administrative tasks. The ideal candidate will possess excellent communication skills, a compassionate demeanor, and the ability to maintain confidentiality in a sensitive environment.
Responsibilities:
1. Greet and welcome clients in a warm and professional manner as they arrive at the center.
2. Answer incoming calls and inquiries promptly and courteously, providing information about our services and scheduling appointments as needed.
3. Maintain an organized reception area, ensuring cleanliness and tidiness at all times.
4. Schedule appointments and follow-up sessions for clients using our appointment scheduling system.
5. Collect and update client information accurately in our database.
6. Assist therapists and counselors with administrative tasks, such as filing, photocopying, and data entry.
7. Respond to emails and messages promptly, providing assistance or directing inquiries to the appropriate staff members.
8. Handle billing inquiries and process payments securely using our payment processing system.
9. Maintain confidentiality and adhere to privacy regulations when handling sensitive client information.
10. Collaborate with other team members to ensure smooth operations and excellent customer service delivery.
Requirements:
1. High school diploma or equivalent qualification required; additional education or certification in office administration or customer service is a plus.
2. Proven experience in a customer service or administrative role, preferably in a healthcare or mental health setting.
3. Excellent verbal and written communication skills, with the ability to engage effectively with clients and colleagues.
4. Strong organizational and multitasking abilities, with attention to detail and accuracy.
5. Empathetic and compassionate demeanor, with the ability to maintain professionalism in emotionally challenging situations.
6. Proficiency in using office software applications such as MS Office suite and appointment scheduling software.
7. Ability to work collaboratively as part of a team and independently with minimal supervision.
8. Flexibility to adapt to changing priorities and willingness to take on additional responsibilities as needed.
9. Knowledge of confidentiality and privacy regulations related to handling client information.
